A national professional services organization is seeking a Foreign Filing Specialist to support attorneys and intellectual property professionals with the preparation, coordination, and management of international patent filings. This role is responsible for preparing and filing foreign patent applications, managing international patent deadlines and docketing activities, and coordinating communications with foreign associates, clients, and government agencies. The Foreign Filing Specialist plays a critical role in ensuring compliance with international patent procedures, maintaining accurate documentation, and supporting efficient patent prosecution activities within a fast-paced legal environment.

Key Responsibilities

  • Prepare and coordinate foreign patent applications for filing with international patent offices, the Patent Cooperation Treaty (PCT) Receiving Office, and the International Bureau of WIPO.
  • Review patent application materials to ensure all information, forms, and formalities are accurate and complete prior to filing.
  • Obtain, organize, and file supporting documentation including priority documents, assignments, powers of attorney, formal drawings, and related patent materials.
  • Coordinate legalization of documents when required for foreign jurisdictions.
  • Draft reporting letters to clients and instruction letters to foreign associates regarding patent filings and prosecution matters.
  • Communicate professionally with attorneys, clients, foreign associates, embassies, government agencies, and patent offices.
  • Review, process, and docket incoming correspondence related to foreign patent applications and prosecution matters.
  • Maintain and update electronic docket systems to ensure timely management of deadlines and prosecution activities.
  • Monitor daily and biweekly docket reports and follow up with attorneys and clients regarding upcoming deadlines and required actions.
  • Obtain and coordinate foreign filing cost estimates for attorneys and clients.
  • Research and monitor changes to international and foreign patent laws, regulations, and procedures.
  • Utilize patent reference materials, online resources, and docketing systems to ensure compliance with current filing requirements.
  • Assist with electronic filing activities and support intellectual property administrative operations as needed.

Minimum Education & Experience Requirements

  • High school diploma or equivalent required.
  • Business school training, paralegal certification, or equivalent intellectual property patent filing experience preferred.
  • Minimum of 1–3 years of recent foreign patent filing or intellectual property experience within a law firm or professional services environment required.
  • Prior experience with PCT filings and foreign patent prosecution procedures required.
  • Experience working with docketing systems and electronic filing platforms preferred.
  • Familiarity with international patent processes, foreign filing requirements, and patent prosecution support required.

Special Requirements

  • Ability to work overtime as needed to meet filing deadlines and business demands.
  • Ability to maintain confidentiality regarding client and patent information.
  • Experience with electronic filing systems and intellectual property docketing software required.
  • Strong understanding of Patent Cooperation Treaty (PCT) procedures and foreign patent filing requirements preferred.

Knowledge, Skills, and Abilities

  • Strong knowledge of international patent filing procedures, PCT filings, and foreign patent prosecution processes.
  • Proficiency with Microsoft Office applications including Word, Outlook, and Excel.
  • Experience using intellectual property docketing and document management systems such as Foundation IP or similar platforms.
  • Excellent organizational and time management skills with the ability to manage multiple deadlines simultaneously.
  • Strong attention to detail and accuracy when preparing and reviewing patent filing documentation.
  • Ability to prioritize tasks and work effectively under strict time constraints.
  • Strong written and verbal communication skills with the ability to interact professionally with clients, attorneys, and international contacts.
  • Ability to work independently while maintaining a high level of productivity and accountability.
  • Ability to research and interpret international patent rules, procedures, and filing requirements.
  • Strong analytical and problem-solving skills related to intellectual property administration and filing processes.

Additional Desired Characteristics

  • Prior experience within an intellectual property or patent prosecution practice group.
  • Familiarity with WIPO procedures and international patent filing regulations.
  • Experience coordinating with foreign associates and international patent offices.
  • Ability to adapt quickly to changing regulations, procedures, and technology platforms.
  • Strong customer service orientation and commitment to high-quality client support.

Work Environment

  • Hybrid work schedule may be available based on organizational and departmental needs.
  • Professional office environment with frequent interaction with attorneys, clients, and international contacts.
  • Position requires prolonged computer and document review work.
  • Occasional overtime may be necessary to accommodate international filing deadlines and client demands.
