Executive Assistant & Personal Travel Coordinator to CEO Start-up in the Technology Space | $110-130k Base
We are seeking an exceptional Executive Personal Assistant to support the CEO of a rapidly growing technology brand. This is a highly demanding, high-visibility role for a sharp, seasoned executive partner who thrives in fast-paced environments and can anticipate needs before they arise. You will work closely with a highly accomplished Chief of Staff and operate at the center of the organization - supporting a CEO who moves quickly, thinks big, and maintains an extensive network across tech, media, and business.
The ideal candidate is polished, deeply organized, emotionally intelligent, and unflappable - someone who can manage complexity with calm precision while serving as a trusted gatekeeper and personal right hand. A significant portion of this role is travel-focused, and candidates must bring a genuine expertise in complex, high-touch travel coordination.
Key Responsibilities
Travel & Logistics
- Own all aspects of domestic and international travel planning and execution - private and commercial aviation, luxury hotel accommodations, ground transportation, restaurant reservations, and curated on-the-ground experiences
- Build detailed, seamless itineraries that account for every contingency, with real-time troubleshooting and adjustments as plans evolve
- Manage visa, passport, and documentation requirements across multiple international destinations
- Extend travel support to family members and guests as needed, coordinating multi-party logistics with precision and discretion
- Maintain relationships with preferred vendors, travel partners, and service providers to ensure consistent, elevated experiences
Executive & Personal Support
- Own a complex, ever-changing calendar - balancing internal priorities, external relationships, and personal commitments with sound judgment
- Handle a broad range of personal assistance including household vendor coordination, personal shopping, gifting, reservations, and lifestyle management
- Screen and prioritize incoming communications, exercising strong judgment on urgency, tone, and escalation
- Prepare briefing materials, meeting agendas, and follow-ups to ensure the CEO is always prepared and focused on the highest-impact work
- Act as a trusted liaison between the CEO, Chief of Staff, leadership team, board members, and external partners
- Coordinate logistics for board meetings, offsites, investor meetings, and high-profile events
- Handle all sensitive and confidential matters with the utmost professionalism
Qualifications
- 6-7 years of experience supporting C-suite executives, ideally within high-growth technology, media, entertainment, or consumer brands
- Demonstrated expertise in complex, high-touch travel coordination - private aviation experience strongly preferred
- A natural anticipator who identifies needs and solves problems before they surface
- Exceptional organizational skills and attention to detail, with the ability to juggle multiple priorities seamlessly
- Strong executive presence, polished communication skills, and high emotional intelligence
- Deeply discreet, trustworthy, and composed under pressure
- Comfortable operating with ambiguity, speed, and high expectations
- Advanced proficiency in Google Workspace, Microsoft Office, and collaboration tools such as Slack, Asana, and Notion
