The Clerical Assistant will provide general administrative support in a professional office environment, with a focus on clerical and case-processing tasks. This role involves frequent interaction with the public, coordination of office visitors, and various duties to support the operational efficiency of the Pittsburgh office of the Bureau of Hearings and Appeals.
Key Responsibilities:
- Greet and coordinate visitors to the office
- Answer incoming phone calls, transfer calls, and take messages as needed
- Open, sort, and process incoming and outgoing mail
- Scan hard-copy documents and assist with file organization
- Perform basic case processing work
- Dispatch closed files via UPS on Tuesdays and Thursdays
- Enter and verify data accurately (minimum 30 WPM typing speed)
- File and retrieve materials alphabetically, numerically, or chronologically
- Provide basic information to the public and co-workers in a professional manner
- Operate standard office equipment (e.g., computer, scanner, copier, postage meter, etc.)
- Maintain confidentiality and demonstrate discretion at all times
Qualifications:
- Minimum of 1 year of experience in an office or clerical setting
- Basic proficiency in Microsoft Office Suite, including Outlook, Word, Excel
- Ability to follow detailed written and oral instructions
- Strong knowledge of standard English vocabulary, grammar, punctuation, and spelling
- Reliable, professional, and able to handle repetitive tasks with accuracy
Additional Requirements:
- Must report to and perform tasks assigned by the designated supervisor
- May be required to participate in training provided by the agency
- Confidentiality must be maintained regarding all Bureau-related information
- For assignments over eight weeks, time off must be requested with 24 hours' notice and approved by a supervisor
