Our firm, located in Downtown Phoenix, is seeking a dedicated and detail-oriented Personal Injury Bilingual Intake Specialist to join our dynamic legal team. The ideal candidate will play the primary role in managing incoming leads, providing exceptional client service, and ensuring the smooth transition of cases from initial contact to retention. In addition to traditional intake responsibilities, this role requires the specialist to become a Subject Matter Expert (SME) on our firm's primary software systems, LeadDocket and FileVine. As the firm continues to grow, this role has advancement potential.
- Handle incoming calls and online inquiries from potential clients.
- Conduct initial screenings to determine the viability of potential cases.
- Collect and document detailed information from potential clients regarding their personal injury claims.
- Maintain a compassionate and professional demeanor while interacting with clients.
- Become a Subject Matter Expert (SME) on Lead Docket and FileVine and assist the admin team in optimizing the firm’s intake process.
- Train and support team members on the effective use of these software systems.
- Stay updated with any software updates or changes and implement them within the team.
- Follow up daily on pending leads in Lead Docket until the case is either closed or signed.
- Upload incoming leads into Lead Docket as needed.
- Ensure all lead information is accurately entered and updated in the system.
- Prepare and submit weekly reports for leadership, summarizing intake activities and lead statuses.
- Analyze intake data to identify trends and areas for improvement.
- Provide insights and recommendations based on data analysis.
- Assist with general office duties as needed.
- Maintain organized and up-to-date client files and records.
- Ensure compliance with all relevant legal and ethical standards.
- Coordinate with attorneys and paralegals to ensure seamless handoff of new cases.
- Schedule consultations and meetings between clients and legal staff.
- Monitor and track the progress of cases through the intake process.
- Manage Case Transfers
- Personal Injury Experience (Mandatory): Proven experience working in a personal injury law firm is mandatory.
- Client-Centric: Exceptional customer service skills with the ability to create a positive and welcoming environment for clients.
- Communication: Strong verbal and written communication skills, including professional phone etiquette. Ability to effectively share thoughts and ideas with leaders.
- Organization: Excellent organizational skills with the ability to multitask and prioritize tasks effectively. This is a fast-paced role; you’ll need to be quick, accurate and organized.
- Attention to Detail: A keen eye for detail to ensure accuracy in document management and appointment scheduling. If you’re from a law firm setting, you know how important this is.
- Computer Proficiency: You will need to excel in LeadDocket, FileVine and O365. You must have the ability to quickly learn new software applications. You’re going to be in software all day – please be good at it. Or able to be good at it in a short period of time.
