Position Summary
The Business Office Manager (BOM) is responsible for overseeing all financial and administrative operations of the facility, including billing, collections, accounts receivable, and resident trust accounts. This role ensures timely reimbursement, accurate financial records, and compliance with all federal, state, and facility regulations while supporting residents and families through the financial process.
Key ResponsibilitiesBilling & Accounts Receivable
- Oversee all aspects of billing, including Medicare, Medicaid, private pay, and insurance
- Ensure timely and accurate submission of claims
- Monitor accounts receivable and aging reports
- Follow up on outstanding balances and denied claims
- Work to reduce AR days and improve cash flow
Medicaid (MA) Pending & Collections (Strong Focus)
- Manage all Medicaid Pending cases from admission through approval
- Work closely with residents and families to obtain required documentation
- Communicate regularly with County Assistance Offices (CAO)
- Track and follow up on all pending applications to ensure timely approval
- Educate families on financial responsibilities and assist with the application process
Resident Accounts
- Maintain accurate resident trust accounts
- Ensure proper posting of payments and charges
- Provide account statements and respond to resident/family inquiries
- Resolve billing discrepancies in a timely and professional manner
Admissions Support
- Review financials prior to admission to ensure appropriate payer source
- Verify insurance coverage and benefits
- Communicate financial expectations to residents and families
Compliance & Reporting
- Ensure compliance with all federal and state regulations
- Maintain accurate financial records and documentation
- Prepare reports for administration, including AR, collections, and census data
- Assist with audits and surveys as needed
Staff & Office Management
- Supervise business office staff (if applicable)
- Ensure efficient daily office operations
- Collaborate with interdisciplinary team including admissions, social services, and nursing
Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- Minimum 2 years of experience in a skilled nursing facility business office
- Strong knowledge of Medicare, Medicaid, and insurance billing
- Experience with Medicaid Pending and collections required
- Proficiency in billing software and Microsoft Office

Pay: From $65,000.00 per year
