The Data and Process Specialist plays a key role in supporting the Admissions team by ensuring smooth processing and communication with applicants. The incumbent will be responsible for overseeing various operational projects, including verification processes, congratulatory calls, payment confirmations, and managing the Admissions Mailbox. They will ensure that admitted scholars meet enrollment deadlines and address any post-decision-related concerns in collaboration with the Data and Process Manager. Additionally, the coordinator will manage scholarship applications, generate and track admissions data, and provide training and technical support to team members.
Key Responsibilities:
Admissions Process Management:
- Process and communicate admissions responses to applicants in a timely and professional manner.
- Ensure admitted scholars complete all enrollment requirements by the set deadlines.
- Direct projects related to verification, congratulatory calls, payment confirmations, and the management of the Admissions Mailbox.
Data Management and Reporting:
- Generate and track admissions data at various stages of the admissions and enrollment processes (including scholarships, drops, and feedback).
- Execute the scholarship application process and coordinate with the Data and Process Coordinator to ensure scholarship information is ready for scholar admission and placement.
Technical Support and Training:
- Provide technical support and training to team members on relevant data systems and processes.
- Identify opportunities for process improvements and optimize workflows to enhance efficiency.
Post-Decision Support:
- Communicate post-decision issues or concerns to the Data and Process Manager and assist in troubleshooting as necessary.
Project Coordination and Organization:
- Manage priorities effectively, ensuring that projects are completed on time and meet deadlines, particularly during peak enrollment periods.
- Ensure high-quality work during extended hours or weekends as required by peak periods.
Qualifications:
Experience:
- Minimum of 3 years of experience in process management, including administration, operations, and communications.
- Experience in operations or process-specific design, implementation, and execution.
- Proven experience in data management, process optimization, and project coordination.
Technical Skills:
- Proficiency in Google Sheets and Excel, including knowledge of pivot tables, V-lookups, and data analysis.
- Experience with CRM or ERP systems is preferred.
- Familiarity with tools such as Zoom and Asana for communication and project management.
