Responsibilities
- Supervise security personnel and administrative staff to ensure smooth daily operations
- Develop and implement comprehensive security policies and procedures in collaboration with leadership
- Manage scheduling for security shifts, administrative tasks, and office coverage to ensure optimal staffing levels
- Oversee vendor relationships for security equipment, supplies, and services, ensuring quality and cost-effectiveness
- Coordinate event planning activities related to security measures or organizational functions
- Handle human resources functions including onboarding, training & development of staff, and maintaining personnel records
- Oversee office management duties such as calendar management, filing systems, front desk operations, multi-line phone systems, and general clerical support
- Manage budgeting responsibilities for security supplies and administrative expenses using tools like QuickBooks or similar accounting software
- Conduct payroll processing in collaboration with HR or finance teams to ensure timely compensation for staff
- Maintain accurate bookkeeping records related to office expenses and vendor payments
- Facilitate communication across departments through effective phone etiquette and organizational skills
Experience
- Proven supervising experience in security management or office administration roles
- Strong background in event planning, vendor management, and office operations management
- Experience with QuickBooks or comparable bookkeeping/accounting software is highly desirable
- Demonstrated ability to manage schedules efficiently and coordinate multiple priorities simultaneously
- Knowledge of human resources practices including onboarding, training, payroll processing, and employee relations
- Prior experience in medical office management or similar environments is a plus but not required
- Excellent communication skills coupled with organizational prowess to lead teams and streamline office workflows
- Familiarity with multi-line phone systems, calendar management tools, filing systems, and front desk procedures
