Role Description
Concrete Indy is growing fast, and we’re looking for a highly organized, proactive Operations Coordinator to keep our crews, schedules, and customers running smoothly every single day.
This is a critical role in our company. If you thrive in fast-paced environments, love solving problems in real time, and take pride in keeping things organized and efficient — this could be a great fit. We would also like candidates that are bilingual in English/Spanish.
What You’ll Be Responsible For
1. Daily Scheduling
Assign all crews to jobs each day
Build and adjust the weekly schedule based on:
• job size
• location
• weather
• priority clients
2. Crew Dispatch
Communicate daily job details to each crew:
• address
• scope of work
• start time
• pour time
Ensure every crew knows exactly where to go and what they are doing
3. Concrete Truck Scheduling
Order ready-mix concrete for each job
Ensure correct:
• yardage
• timing
• location
Adjust or cancel orders if schedule changes
4. Weather Monitoring
Track weather daily and hourly
Adjust schedule ahead of rain or temperature issues
Proactively reschedule jobs when needed
5. Customer Communication
Confirm job dates and arrival windows
Notify customers of delays or schedule changes
Ensure customers are prepared for their job
Follow up after job completion
6. Real-Time Problem Solving
Handle:
• rain delays
• job delays
• schedule conflicts
• priority job changes
Adjust crews and schedule quickly without disruption
7. Job Awareness
Understand each job at a basic level:
• type of work
• general size
• timeline
Answer basic customer questions
Escalate any:
• scope changes
• pricing questions
• design/layout changes
• Changing job scope or design
8. Maintain Crew Productivity
Ensure all crews are working daily
Prevent downtime between jobs
Keep workflow moving efficiently
9. Short-Term Planning (2–5 Days Ahead)
Review upcoming jobs
Identify potential issues early
Adjust schedule proactively
11. Schedule Optimization
Improve efficiency by:
• reducing drive time
• balancing workload between crews
• grouping jobs logically
• material requirements met for each job
12. Daily Reporting
Provide a simple update to ownership:
• what was completed
• what changed
• any issues
13. Next-Day Preparation
Finalize next day’s schedule
Confirm concrete orders
Confirm customers
Ensure crews are fully prepared
Not Responsible For
• Pricing or estimates
• Managing crew behavior or discipline
• Making financial decisions
• Overriding ownership decisions
