Duties
- Answer and manage phone systems, greet visitors, and handle incoming inquiries professionally
- Prepare and assist with job estimates, proposals, and client invoicing
- Perform data entry, maintain accurate records, and manage digital and physical filing systems
- Utilize Google Workspace (Docs, Sheets, Drive, Gmail, Calendar) for office operations
- Assist with scheduling, calendar coordination, and appointment management
- Support administrative and clerical tasks including document preparation and proofreading
- Provide customer service via phone and email, maintaining professional communication
- Assist with QuickBooks or other bookkeeping tasks, including invoicing and record tracking
- Maintain office organization including files, documents, and internal records
- Support general office management duties and assist with special projects as needed
- Maintain confidentiality of company and client information
Qualifications
- Proven experience in office management or clerical roles.
- Experience with estimating, invoicing, or administrative support for projects
- Strong computer skills including Google Workspace and Microsoft Office
- Excellent data entry and organizational skills
- Strong attention to detail and ability to manage multiple tasks efficiently
- Professional communication skills with strong phone etiquette
- Experience with multi-line phone systems and front desk responsibilities
- Familiarity with QuickBooks or bookkeeping software is preferred
- Customer service experience is a plus
- Bilingual ability is a plus
