Job Duties & Essential Position Functions
Administrative Support
- Maintain comprehensive School of Fine Arts calendar (university-wide and internal department events)
- Schedule rooms for classes, lessons, rehearsals, and performances
- Coordinate purchasing and procurement for the music department, tracking budget expenditures
- Organize physical spaces and maintain the music library
- Create and maintain spreadsheets for student information, faculty schedules, and event planning
- Schedule piano tuning throughout the year
- Arrange for instrument maintenance and repair (woodwind, brass, string)
- Coordinate locker assignments and create sign-up systems for students
- Manage recruiting efforts
- Collaborate with marketing and communications for Fine Arts events promotion
- Collect program details from faculty and submit to communications for program creation
- Create digital programs and prepare slides for concerts
- Assist with tour planning and logistics
- Attend music tours to manage logistical details
- Organize student celebrations and end-of-semester events
- Coordinate ensemble and individual photos
- Submit event information to university communications for promotion
- Maintain social media presence on platforms like Facebook and Instagram
- Collect information from faculty and students to help create SoFA newsletters (monthly) and manage distribution
- Submit design requests for flyers and promotional materials
- Update the School of Fine Arts website with current information
- Manage email communications to students, faculty, and community members
- Coordinate Friday Serenade (performance lab) sign-ups
- Organize jury sign-ups and scheduling
- Assist with student worker assignments and scheduling
- Support student recital logistics
- Create folders and materials for student camps and workshops
- Assist with planning and execution of music camps
- Reserve rooms and arrange for necessary equipment
- Order supplies, prepare student folders, and organize materials
- Coordinate food and refreshments for camps and special events
- Assist with Fine Arts recruiting efforts with schools and community
- Coordinate alumni communications and events
- Support faculty with community engagement initiatives
- Help manage partnerships with community organizations
- Helps with recruiting efforts
- Other duties and functions as needed
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with social media platforms and basic marketing principles
- Ability to work independently and as part of a team
- Detail-oriented with strong problem-solving skills
- Ability to create and implement systems to improve efficiency and effectiveness

- Associate's degree or higher
- Experience with fine arts
- Experience in an academic or arts-related environment
- Familiarity with event planning and coordination
- Knowledge of fine arts terminology and practices
- Experience with design software (such as Canva)
- Familiarity with website content layout
