General Description:
The Fiscal Accountant supports the agency's financial operations through accurate accounting, financial reporting, grant compliance, budgeting support, and continuous process improvement. This position is responsible for maintaining the integrity of financial records, supporting month-end and year-end close processes, ensuring audit-ready documentation, and maximizing the effectiveness of financial systems, including Sage Intacct or comparable ERP platforms. The Fiscal Accountant works collaboratively with program staff, Human Resources, and leadership to strengthen internal controls, improve financial processes, identify operational efficiencies, and support informed decision-making. The ideal candidate is proactive, solutions-oriented, technologically proficient, and capable of independently driving improvements that enhance accuracy, compliance, and organizational effectiveness.
Duties and Responsibilities:
Accounting & Financial Operations
- Process and record accounts payable transactions, journal entries, accruals, prepaid expenses, and other accounting activities in a timely and accurate manner.
- Maintain general ledger integrity by ensuring proper coding and allocation of expenses across grants, departments, programs, and funding sources.
- Reconcile bank accounts, Ramp credit card activity, balance sheet accounts, and other subsidiary ledgers while investigating and resolving discrepancies promptly.
- Support monthly, quarterly, and annual financial close processes, ensuring deadlines are met and financial information is accurate.
- Utilize Sage Intacct ERP system functionality to improve efficiency, automate processes, enhance reporting capabilities, and strengthen financial controls.
- Prepare financial analyses and account reconciliations to support decision-making and improve financial performance.
- Communicate directly with vendors, customers, program staff, and internal stakeholders to resolve accounting discrepancies and fiscal concerns.
- Perform additional accounting and administrative responsibilities as assigned.
Budgeting & Grant Management
- Track grant expenditures and monitor compliance with funder-specific allowable cost requirements.
- Assist with annual budget preparation, budget revisions, forecasting, and financial planning activities.
- Collaborate with program leadership to improve financial understanding and support effective budget management.
- Develop tools, reports, and system-based solutions that improve grant tracking and budget monitoring.
- Identify opportunities to streamline grant reporting processes while maintaining compliance requirements.
- Support fiscal management of multiple funding streams and ensure expenditures are properly allocated and documented.
Compliance & Documentation
- Maintain complete and audit-ready financial records, including invoices, receipts, approvals, contracts, and supporting documentation.
- Assist in responding to auditor requests and implementing corrective actions when necessary.
- Monitor adherence to internal controls, approval workflows, segregation of duties, and financial policies.
- Participate in the development, review, and enhancement of fiscal policies and procedures.
- Support continuous improvement initiatives focused on financial accountability, documentation standards, and regulatory compliance.
Program & Staff Support
- Provide guidance to staff regarding financial coding, purchasing procedures, documentation requirements, grant compliance, and fiscal policies.
- Respond to fiscal inquiries promptly and professionally while maintaining a customer-service mindset.
- Assist with onboarding and training employees on fiscal policies, accounting procedures, Ramp functionality, and documentation standards.
- Identify recurring operational challenges and proactively recommend solutions that improve efficiency and accountability.
- Foster collaborative relationships across departments to support sound financial management practices.
Qualifications
Education & Experience
- Bachelor's Degree in Accounting, Finance, or a related field required.
- Minimum 2 years of progressive accounting experience, preferably within nonprofit, grant-funded, or human services environments.
- Strong knowledge of Generally Accepted Accounting Principles (GAAP).
- Proficient in Microsoft Office Suite, including Excel (Pivot Tables, VLOOKUP), Outlook, and Word.
- Ability to independently manage multiple priorities while meeting deadlines.
- Hands-on experience using Sage Intacct or experience with comparable ERP systems such as NetSuite, Microsoft Dynamics, Oracle, or QuickBooks.
Preferred
- Experience working with DHS-funded programs or human services organizations.
- Knowledge of grant compliance, allowable costs, and audit preparation.
- Experience developing or improving fiscal workflows and documentation systems.
- Knowledge of nonprofit budgeting, cost allocations, and cost reimbursement funding models.

Salary : $60,000 - $65,000
