About the Role
The Office Coordinator ensures smooth day-to-day operations at the New Jersey office while driving a positive, engaging workplace culture. This role manages office administration, front-desk activities, event coordination, vendor management, and internal engagement programs. The position requires a proactive, reliable individual who thrives in a fast-paced and collaborative environment.
Responsibilities
- Office Operations
- Serve as the primary point of contact for the office, managing front-desk responsibilities, calls, visitors, and general correspondence.
- Oversee day-to-day office operations, including coordination of shipments, contractors, service providers, catering, and maintenance activities.
- Coordinate meetings, appointments, and room bookings for employees and visitors.
- Identify, order, and maintain office supplies and pantry materials; manage vendor relationships and coordinate deliveries as needed.
- Culture & Employee Engagement
- Drive site culture through planning and executing engagement activities, events, and recognition programs.
- Lead the planning, coordination, and execution of office events—including team-building activities, celebrations, holiday events, wellness programs, and cultural initiatives.
- Collaborate with internal teams to ensure all activities align with Concept Medical’s values and support teammate engagement.
- Manage budgets, event logistics, and vendor coordination for seamless execution.
Qualifications
- High school diploma or equivalent required; additional education preferred.
- Minimum 2 years of experience in office coordination, administration, or similar role.
Required Skills
- Proven experience in office coordination, administrative support, or related responsibilities.
- Strong organizational and multitasking skills with excellent attention to detail.
- Excellent interpersonal and communication skills.
- Experience with event planning, employee engagement, recognition programs, and/or DEI activities is preferred.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office Suite, Google Workspace, and general office software/tools.

Pay range and compensation package
- Competitive hourly pay based on New Jersey market norms and candidate experience.
