About The Role:
Performs complex (journey level) legal and administrative assistant work for the Administrative Hearings Section. Also provides legal and administrative support to the Senior Counsel for Tax Compliance. Prepares legal documents, correspondence, files, exhibit books for oral hearings, and reports. Organizes and maintains records that support the administrative hearings process. Performs filing, secretarial tasks and other administrative duties. Works in a computer based environment. Works under limited supervision with considerable latitude for the use of initiative and independent judgment.
Monday through Friday, 40 hours a week with occasional evening, weekend hours and holidays. Hours may change based on business need.
Minimum Qualifications
- Graduation from an accredited college or university with major coursework in law or a related field.
Experience:
- Three (3) years experience working as a legal assistant or paralegal.
- Experience providing administrative support in an office environment.
Preferred Qualifications
Preferred Education: Certified Paralegal (CP), Certified Legal Assistant (CLA) or legal educational background.
Preferred Experience:
- Three (3) years experience working in a law firm, corporate legal division or government agency as an administrative assistant in a legal environment, legal secretary, legal assistant or paralegal.
- Experience using MS Office Excel and other MS Office Suite programs
- Experience conducting online legal research
- Experience with various types of civil proceedings
Substitutions
One (1) additional year of the full-time minimum experience as stated above may substitute for each year (30 semester hours) of the required education with a maximum of 120 semester hours (four years).
Licenses and Certifications:
Certified Legal Assistant (CLA) or Certified Paralegal (CP) is preferred.
In this role you will:
- Creates and completes documents, prepares letters, memos, legal pleadings, and State Office of Administrative Hearings (SOAH) filings. Handles routine and confidential documents and information. Prepares and certifies audits and other exhibits for submission at oral hearing, and uploads documents to SOAH. Creates and maintains electronic forms and documents in accordance with section standards. Processes incoming and outgoing mail. Retrieves assessment amounts and agency documents for certifications. Communicates with agency personnel to support tax compliance responsibilities. Circulates requests and assembles responses for review by tax compliance attorney for communication with taxpayers and agency staff. Provides other legal assistance to tax hearings attorneys. Assists support staff in preparing hard copy files, certifications and exhibit books for oral hearings. Prepares, edits, and distributes correspondence, reports, studies, forms and documents. Maintains filing, record keeping, and record management systems, such as data entry using Agency Work Manager (AWM) system. Copies and/or prepares position letters, motions, letters, memos, responses, and other legal pleadings.
- Monitors case files and ensures they are kept in accordance with section standards. Sets up, maintains, and closes out administrative hearings files. Responds to inquiries from taxpayers and agency employees concerning hearings.
- Maintains status of cases on AWM and attorney hearings calendars. Creates new hearing file setups, prints hard-copy of imaged files, sorts, create labels, tabs and places documents in folders with dividers.
- Performs other related work as assigned, including, but not limited to, serving as backup in absence of other administrative support staff.
