Comprehensive Life Resource is looking for a qualified Administrative Assistant, to join our team in Tacoma, WA.

Function: Perform administrative support, manage clients within the electronic health record system, file paperwork, and manage other data as well as scheduling needs of the milieu. Assist the Administrative Services Manager with projects and other administrative duties. Assist the Milieu Manager by creating and managing the BHT schedule, time off requests, ensuring timecards are completed and accurate, and communicating effectively with BHT’s, Unit Supervisors, and Milieu Manager. 

Responsibilities

  • Monitor, verify, and submit data to the team in a timely manner.
  • Comply with agency and program policies and procedures.
  • Attend relevant meetings.
  • Assist facility in preparing for program and agency audits.
  • Attain optimal understanding of our electronic health management systems.
  • Assist departments with administrative support.
  • Create and manage the BHT schedule and ensure the schedule is posted three weeks out.
  • Maintain regular communication with part time/per diem staff to fill open shifts.
  • Review timecards at the end of the pay period on Sundays to ensure the hours reflected are correct, running reports fix any punch errors, and communicating with BHT’s on any errors or unsigned timecards.
  • Regular communication through email, teams, and phone calls with BHT’s Unit Supervisors, and Milieu Manager of open shifts, time off requests, and other request, issues, or concerns that arise.
  • Review time off requests on a regular basis and document and maintain an efficient system to track vacation requests to ensure staff coverage during time off.
  • In addition to the above, performs other duties as assigned.
  • High school graduate or GED.
  • Two years of administrative assistant or secretarial experience or scheduling experience, preferred.
  • Preferred experience in managing dynamic scheduling, data management and reporting.
  • Experience in a mental health environment is desirable.
  • Computer literate; skilled in MS Word, Excel, and Outlook.
  • Strong analytical, interpersonal, written, and verbal communications skills.
  • Demonstrated ability to organize, plan, and manage workloads.
  • Ability to work independently, anticipate needs, and meet department goals.
