We are seeking an experienced, dependable, and technology-savvy Administrative Coordinator who can become an important part of our growing team. This person will often be the first voice a client hears and will help keep communication flowing between homeowners, insurance adjusters, project managers, estimators, subcontractors, vendors, and the rest of our office.
This is not an entry-level position. Candidates must have at least two years of relevant experience in construction, water mitigation, insurance restoration, roofing, property claims, or a closely related field.
Position Summary
The Administrative Coordinator will help manage incoming calls, new-client intake, insurance-claim communication, scheduling, job documentation, customer follow-up, collections, and general office organization.
The ideal candidate is confident speaking with homeowners and insurance adjusters, understands the general flow of an insurance-related construction claim, and is comfortable following up persistently and professionally when documents, approvals, payments, estimates, or responses are delayed.
This individual must also be highly comfortable with computers and willing to learn new software. The role requires someone who takes initiative, notices what needs to be done, and is willing to help maintain a clean, organized, and welcoming office environment.
Primary Responsibilities
Customer Service and Phone Communication
- Answer incoming calls promptly, warmly, and professionally.
- Serve as a positive first point of contact for homeowners, property owners, insurance representatives, vendors, and referral partners.
- Gather accurate information from new clients, including their contact information, property address, type of project or damage, insurance carrier, claim number, date of loss, adjuster information, and immediate concerns.
- Determine the purpose and urgency of each call and route it to the appropriate team member.
- Schedule inspections, consultations, design meetings, project appointments, and follow-up calls.
- Return calls and messages promptly and make sure no customer inquiry is overlooked.
- Communicate with clients throughout the process so they understand the next step and know what information is still needed.
- Remain calm, patient, and compassionate when speaking with homeowners who are frustrated, confused, or experiencing property damage.
- Document important conversations, commitments, deadlines, and follow-up items in the appropriate customer or project file.

Pay: $22.00 - $28.00 per hour
