Position Overview:
The Customer Service Representative supports the Title team by performing research, preparing title-related documents, and assisting with customer inquiries to ensure timely and accurate processing of title files. This role works closely with Title Officers and internal teams to gather and maintain information, produce reports, and support low-risk title products. The Customer Service Representative plays a key role in delivering responsive, professional service and maintaining organized records in a deadline-driven environment.
Key Responsibilities:
- Provide administrative and production support to Title Officers and title team members.
- Conduct land and name searches using public records and the company’s title plant.
- Research property records and compile historical data for customer requests and title files.
- Prepare chain sheets and review property information for accuracy.
- Utilize title production software (e.g., Resware, GIS databases, and county systems) to complete tasks.
- Review documents for accuracy prior to recording with county offices.
- Coordinate document recording and maintain accurate logs in production systems.
- Prepare reports, guarantees, and assist with low-risk title insurance products.
- Assist with policy preparation and respond to post-policy requests.
- Maintain accurate and organized electronic records of customer requests and title files.
- Communicate professionally with customers via phone, email, and in person to identify and respond to needs.
- Provide timely customer service in alignment with company service standards.
- Perform file updates and assist with delivery of completed documents.
- Support phone coverage and general inquiries for the title team.
- Assist with property inspections or verification activities, as needed.
- Handle additional tasks and requests as assigned by Title Officers or Title leadership.
- Ensure compliance with company standards, underwriter guidelines, and established procedures.
- Interact and communicate in a professional and effective manner with all levels of team members, leadership, customers, and external partners.
- Performs other functions as necessary or as assigned.
Required Qualifications:
- High school diploma or general education degree (GED); or equivalent combination of education and experience.
- Ability to read, analyze, and interpret documents and property-related information.
- Strong attention to detail and accuracy in data entry and document review.
- Effective verbal and written communication skills.
- Ability to respond to customer inquiries and resolve issues in a professional manner.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Problem-solving skills with the ability to collect and interpret data.
- Basic mathematical skills (including percentages, ratios, and proportions).
- Proficiency in Microsoft Word, Excel, Outlook, and other Windows-based applications.
- Ability to learn and navigate title production systems, county records, and databases.
Preferred Qualifications:
- Experience in title, escrow, real estate, or a related field.
- Familiarity with title search processes, recording requirements, and property research.
