What are the responsibilities and job description for the ASSISTANT MEDICAL PRACTICE MANAGER position at Community of Hope?

The Assistant Medical Practice Manager is accountable directly to the site-specific Medical Practice Manager. This position will supervise other Medical Receptionists on site as assigned. This position oversees and implements smooth patient flow at the front desk by practicing and ensuring trauma informed customer service while handling patient calls, scheduling, and checking patients in, ensuring all forms are completed, and collecting payment. This position ensures optimal productivity and patient access to care through schedule management and oversight. This position supports optimal performance by providing guidance, support, and supervision to receptionists. This is a full-time position.


Highlighted Duties and Responsibilities:
  • Registers patients in eCW and obtains required documentation by assisting receptionists on as as needed basis.
  • Monitors and responds in a timely manner to patient voicemails, telephone encounters, and actions daily or as assigned.
  • Ensures optimal productivity by monitoring schedules to make sure they are full.
  • Determines areas requiring improvement for current Receptionists and provides additional training
  • Assists Practice Manager with special projects aimed at professional development
  • Analyzes front desk performance metrics and works with Practice Manager to identify areas for improvement.
  • Effectively uses de-escalation skills to manage any customer service problems with patients on non-clinical issues, troubleshoots the problem works to find a solution, and contacts supervisor for further assistance if an immediate solution is not available
  • Coordinates work flows with other Practice Managers as needed
  • Works with Practice Manager to manage patient flow at the front desk including cycle times of one hour or less and excellent customer service
  • Meets with supervisees regularly and provides real-time feedback, training, support, and coaching as needed. Creates meeting agendas, sends meeting agendas in advance when possible, and documents concerns promptly as needed
  • Completes other duties as assigned
Minimum Qualifications:
  • High School Diploma/GED required;
  • Minimum of 2 years experience working in a medical administration role
  • Minimum of 1 year supervisory experience preferred
  • Experience with Electronic Medical Records and eClinicalworks preferred
  • Experience with working with under-resourced populations preferred
  • Experience in medical setting required
  • Strong organizational skills and commitment to working in a professional environment
  • Strong computer skills (MS Wors, MS Excel, MS Outlook, Internet) required
  • Ability to work on site and to travel between sites required
  • Bilingual preferred in English and Spanish/Amharic
  • Ability to work some evenings and weekends required
  • This position is required to work 100% on site. Please note that the remote work agreement is subject to change at any time, and the supervisor may require in person learning for a specific amount of time after hire

Community of Hope is a mission-driven, innovative, and rapidly growing nonprofit. For nearly 40 years, we have provided healthcare, housing, and supportive services for low-income, underserved, and homeless people in Washington DC. As a Federally Qualified Health Center, we provide medical, dental, behavioral health, and care coordination services for the whole family at three locations in DC. Community of Hope also has a strong emphasis on maternal and child health, with a midwifery practice and the only free-standing birth center in DC. In 2020, Community of Hope provided about 28,400 medical visits, 7,000 dental visits, and 10,000 behavioral health visits for about 11,000 patients. Community of Hope is also providing community walk-in COVID testing and COVID vaccines. Community of Hope is also one of the largest providers in DC of housing and support services for families experiencing homelessness.
