We are seeking a dedicated and motivated Operation Manager to join our team. SUMMARY: The Operations Manager is responsible for overseeing the day-to-day operational functions of the shelter to ensure a safe, compliant, and supportive environment for clients and staff. This role provides leadership to supervisory and frontline staff, ensures adherence to funder and regulatory requirements, and supports program effectiveness through strong operational systems, staff accountability, and interdepartmental coordination. This position reports to the Shelter Director and is a 24/7 on-call position.
DUTIES AND RESPONSIBILITIES:
- Oversee daily shelter operations to ensure safety, cleanliness, and functionality of the facility.
- Monitor building conditions and coordinate maintenance, repairs, and vendor services.
- Ensure compliance with health, safety, fire, and sanitation standards.
- Maintain adequate supplies and inventory for program operations
- Supervise the Shift Supervisors and all front line staff
- Provide coaching, corrective feedback, and performance evaluations in accordance with HR policies.
- Ensure appropriate staff coverage and scheduling to meet program requirements.
- Support staff training, onboarding, and policy compliance.
- Conduct internal audits and implement corrective action plans as needed
- Ensure shelter rules, policies, and procedures are consistently enforced.
- Support staff in managing client concerns, incidents, and conflict resolution.
- Ensure trauma-informed and family-centered practices are always utilized.
- Escalate critical incidents appropriately and participate in investigations as required.
- Communicate operational updates, expectations, and changes to staff clearly and in a timely manner.
- Participate in leadership meetings and contribute to operational planning.
- Respond to emergencies and serve as on-call leadership.
- Monitor the logging and storage of client property
- Ensure that storage area is organized and following the mandated storage rule as per DHS
- Work in conjunction with the Director of Social Services to ensure that clients are adhering to CMS and DHS mandates.
- Conduct random inspections throughout the facility (interior and exterior) for surveillance of hazardous situations, trespassers, illegal activities, staff performance, etc.
- Participate in weekly Interdisciplinary Team meetings
- Monitor reception area and security staff at the front desk and provide crisis intervention when needed to maintain a safe environment
- Monitor completion and accuracy of required documentation (incident reports, shift reports, audits, logs, client records).
- Recommend process improvements to enhance efficiency and compliance.
- Assist with preparing reports related to operations, staffing, and compliance.
- Monitor overtime hours per pay period
- Assist the Program Director by preparing/executing fire drills and other emergencies.
- Participate in the interview and selection process of new staff and train new employees on the procedures of the center
- Other job-related duties assigned
EXPERIENCE, EDUCATION AND SPECIAL REQUIREMENTS:
NYS Security Guard license required. High school diploma required, Associates Degree preferred and at least three years of related shelter operations experience. Supervisory experience is required. Must have demonstrated skills in conflict resolution, crisis management, and knowledge of video surveillance and fire alarm systems. Knowledge of CARES Database preferred.
Valid NYS driver’s license required. 24 hour on-call for emergencies.
