We are seeking a compassionate, dependable, and organized Appointment Runner/Office Assistant to join our team serving adults with Intellectual and Developmental Disabilities (IDD). This position is ideal for someone who enjoys helping others, has excellent communication skills, and thrives in a fast-paced environment.
This role combines transportation and support at medical appointments with office administrative duties. No two days are the same!
Responsibilities
Medical Appointment Support
- Transport clients safely to and from medical appointments using a company vehicle.
- Accompany clients during physician visits while maintaining dignity, respect, and confidentiality.
- Take accurate notes during appointments.
- Communicate physician recommendations, medication changes, follow-up needs, and treatment plans to the nursing team.
- Obtain copies of visit summaries, prescriptions, referrals, and physician orders.
- Ensure clients are comfortable, safe, and supported throughout appointments.
- Assist with emergency room visits during assigned on-call rotation.
Office Responsibilities
- Schedule medical appointments and specialty referrals.
- Confirm upcoming appointments.
- Answer phones and assist callers professionally.
- Scan, upload, and organize medical documentation.
- File physician orders and medical records.
- Assist nurses with administrative tasks.
- Coordinate communication between providers, pharmacies, and residential staff.
- Maintain accurate records and documentation.
- Perform general office duties as assigned.
On-Call Responsibilities
- Participate in an on-call rotation approximately every third week.
- Respond to after-hours emergency room transportation needs when assigned.
- Coordinate with the on-call nurse during emergencies.
Qualifications
- High school diploma or GED required.
- Excellent organizational and time-management skills.
- Professional communication skills.
- Ability to multitask and prioritize effectively.
- Compassionate and patient demeanor.
- Comfortable working with individuals with Intellectual and Developmental Disabilities (IDD).
- Valid Texas driver’s license with a clean driving record.
- Ability to pass background checks and drug screening.
- Basic computer skills (Microsoft Office, email, electronic records).
- Medical office, healthcare, caregiving, EMT, CNA, or administrative experience preferred but not required.
