Fleet Administrator
Are you a highly organized, technologically savvy, and detail-oriented administrative professional seeking an opportunity to join a fast-paced environment? We are looking for an experienced Large Fleet Administrator to support our extensive fleet operations in Madera, CA.
About the Role
The fleet administrator will be responsible for providing comprehensive administrative support to the Fleet Management team, ensuring the efficient operation of our large vehicle fleet. This role requires exceptional organizational skills, a strong knowledge of technology, a strong work ethic, and the ability to manage multiple priorities simultaneously.
Key Responsibilities
The successful candidate will be responsible for the following key tasks:
- Managing and organizing all fleet-related documentation, including registration, insurance, maintenance records, and regulatory compliance files.
- Scheduling and tracking vehicle maintenance, repairs, and inspections to ensure minimal downtime.
- Coordinating with vendors and internal departments for parts ordering and service appointments.
- Maintaining accurate and up-to-date records in the fleet management software.
- Handling general administrative duties such as answering phones, managing correspondence, and preparing reports for the Executive Director.
- Assisting mechanics, licensing, time cards, break sheets, and training documentation.
- Processing invoices and assisting with budget tracking.
Qualifications
We are seeking candidates who possess the following:
Required
- High school diploma or equivalent
- 3 years of administrative experience, preferably in fleet management
- Proficient in Microsoft, Word, Excel, Google
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
Preferred
- Associate’s degree in business administration or related field
- Experience with a large-scale commercial fleet (50 vehicles)
- Familiarity with fleet management software (e.g., AZUGA, Samsara)
