Position Summary
We are seeking a reliable, organized, and detail-oriented Office Manager to support the daily administrative operations of our transportation company. The ideal candidate will assist with scheduling, customer service, data entry, driver support, and general office duties to help ensure efficient business operations and exceptional service to our clients.
Essential Duties and Responsibilities
· Answer and direct incoming phone calls professionally and courteously.
· Review and maintain transportation appointments and trips.
· Maintain accurate records of transportation logs and company documents.
· Perform data entry and update transportation management systems.
· Assist with driver scheduling, route coordination, and communication.
· Monitor emails and respond to inquiries in a timely manner.
· Prepare, organize, and file paperwork, reports, and other administrative documents.
· Assist with billing and invoicing.
· Must be able to travel to Madera at least once per week, and as needed, using reliable transportation to support company operations and administrative functions.
· Maintain office supplies and place orders as needed.
· Support management with special projects and other administrative tasks as assigned.
Qualifications
· High school diploma or equivalent required.
· Previous office, administrative, customer service, or transportation industry experience preferred.
· Strong computer skills, including Microsoft Office (Word, Excel, Outlook).
· Excellent verbal and written communication skills.
· Strong organizational and multitasking abilities.
· Ability to maintain confidentiality and handle sensitive information.
· Dependable, professional, and self-motivated.
· Spanish-speaking candidates are strongly encouraged to apply. Bilingual English/Spanish skills are highly preferred due to frequent communication with patients and community members.
Physical Requirements
· Prolonged periods of sitting at a desk and working on a computer.
· Ability to occasionally lift up to 20 pounds.
· Ability to communicate effectively by phone and in person.
Compensation & Benefits
· Starting pay: $20-24 per hour (based on experience), with opportunities for pay increases based on job performance, attendance, reliability, and contribution to the company’s success.
