Reports to: Director of Operations

Employment Status Classification: Full-Time Salary; Non-Exempt (40 hours per week)

Schedule: Monday-Friday, 8:30 AM to 4:30 PM (In-office, Hybrid) Location: Troy, Michigan

Salary: $43,680.00 - $47,840.00 per year

About the Role

The Administrative Coordinator plays a critical role in ensuring the smooth, efficient operations of CHN’s executive leadership and Board of Directors.

This is not just a scheduling role. It is a position for someone

who anticipates needs, solves problems before they arise, and brings structure and follow-through to a fast-paced, purpose-driven environment.

You will serve as a trusted partner to members of the executive team, providing high-level administrative support, managing multiple calendars, coordinating board functions, and ensuring leadership is prepared, informed, and supported.

What You’ll Do

Executive and Administrative Support:

  • Manage calendars and schedule meetings for three executives, and proactively review upcoming schedules to share relevant details or materials ahead of meetings as needed.
  • Maintain organized, secure digital and physical files for the executive team, ensuring sensitive information is handled in line with privacy policies.
  • Coordinate conferences, travel, and related logistics across the organization, ensuring all details are managed efficiently and accurately.
  • Set up and organize meeting rooms with necessary materials and technology.
  • Contribute to special projects and provide flexible support to meet evolving executive and administrative needs.

Board Coordination:

  • Coordinate board and subcommittee meetings, including scheduling in alignment with executive calendars and preparing meeting spaces, materials, and technology.
  • Prepare, distribute, and maintain board agendas, minutes, resolutions, and supporting documentation.
  • Attend board and subcommittee meetings to record detailed minutes and produce formal meeting records.
  • Track post-meeting action items and follow up to support timely completion.
  • Maintain accurate, well-organized board records and manage the board SharePoint site.

What You Bring

  • Prior experience in administrative, executive support, or office coordination roles is preferred.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • High attention to detail in composing, reviewing, and proofreading materials, establishing priorities, and meeting deadlines.
  • Proficiency in Microsoft 365 applications (Word, Copilot, Excel, PowerPoint, Outlook, Teams, SharePoint).
  • Analytical and problem-solving skills with a proactive mindset.
  • Positive, enthusiastic attitude and commitment to excellence.
  • Reliable transportation, possession of a valid driver’s license, and maintenance of automobile insurance coverage that meets organization coverage limit requirements. (Bodily Injury $100,000 each person and $300,000 each occurrence and Property Damage of $100,000 each occurrence).

Travel:

Limited, occasional travel within Southeast Michigan may be required to support organizational needs.

CHN reserves the right to require a motor vehicle record check with respect to any employee where driving is an essential function of the position.

Work Environment and Physical Demands:

  • Primarily in the office with the occasional opportunity to work from home.
  • To work from home, the candidate must have a designated space that allows for privacy.
  • This position is primarily sedentary, but may occasionally require standing, walking, bending, or lifting to set up conference rooms, trainings, or managing office tasks.
  • May be required to work beyond standard business hours to meet organizational needs and for meetings or events.
