Responsibilities

 

Approves and codes company invoices for payment.  Order placement utilizing customer web based ordering platforms.  Interacts with company vendors.  May assist with the general responsibilities associated with operating the company stockroom and print shop.  Assists the department with acquisitions and mergers.  Crossed trained to support other department responsibilities.

  • Review and code invoices for payment.  Uploads invoices into Accounts Payable software. Resolve invoice discrepancies with vendor.
  • Facilitate ordering of company consumable supplies utilizing customer web based ordering platforms.
  • Support and assist the Staples Advantage office supplies account by maintaining shopping lists and placing orders for approved requests.
  • Support and assist the UPS Campus Ship Account.  Review and process weekly invoice.
  • Maintain and update electronic files utilizing Microsoft Office Suite.
  • Assist and support in-house print shop.
  • Responsibilities may include completion of stock requisitions, receiving inventory and stocking shelves.
  • Sort and distribute departmental mail.
  • Collaborate with manager to achieve excellent customer service.
  • Assist department during acquisitions and mergers. 
  • Maintain proficient knowledge of, and demonstrate ongoing compliance with all laws and regulations applicable to this position, ensure ongoing adherence to policies, procedures, and internal controls, and meet all training requirements in a timely manner.

Qualifications

 

Education/Training:   High School Diploma plus specialized business education and experience. All applicants must be 18 years of age or older.

Skills:  PC Proficiency, Microsoft Office and web based platform skills.  Strong communication interpersonal and organization skills.

Experience: A minimum of two (2) years customer service and/or purchasing experience preferred.

Compensation: Commensurate with experience plus potential for annual merit increase.
