Job Title: Accounting & Office Coordinator
Position Type: Full-time, 40 hours per week
Reports To: Accounting Director
Position Summary
We are seeking a detail-oriented and dependable Accounting/Office Coordinator to join our team. This dual-purpose role is vital to our daily operations, handling core financial functions and sensitive data with confidentiality, including accounts payable, payroll, and reconciliations—while ensuring our office runs smoothly through high-level administrative support. The ideal candidate is a proactive problem-solver who enjoys a mix of technical accounting work and collaborative office management.
Key Responsibilities
Financial Coordination
- Accounts Payable: Manage the full AP process, including verifying invoice accuracy, ensuring proper GL coding, and obtaining necessary payment approvals.
- Payroll Administration: Act as the primary point of contact for payroll; collect and audit timesheets, update employee records (new hires, terminations, and deductions), and coordinate with our payroll vendor to ensure 100% accuracy.
- Cash & Credit Management: Log incoming checks, prepare bank deposits, and record entries in QuickBooks. Perform monthly credit card reconciliations to ensure GL accounts align perfectly.
- Audit Support: Maintain organized financial filing systems and provide backup support to the Accounting Director as needed.
Office Operations & Executive Support
· Administrative Assistance: Provide support for our Operations Director and office staff, helping with general clerical duties, handling incoming mail and pitch-in to keep our digital and physical records up to date.
Qualifications & Skills
- Experience: 3 years of accounting experience, with a strong preference for candidates with nonprofit background.
- Software: Proven proficiency in QuickBooks and the Microsoft Office Suite (strong Excel skills are essential).
- Education: Associates degree in accounting or equivalent experience.
- Values: A commitment to working with diverse populations, including low-income and marginalized communities.
- Traits: Strong attention to detail, the ability to work independently, and maintain confidentiality and protect sensitive information.
Physical Requirements & Environment
- Standard office environment (extended sitting and computer use).
- Ability to lift up to 5 lbs occasionally and move through the office as needed.
- Occasional flexibility in scheduling to meet seasonal or event-based needs.
