You're the person friends ask to plan the group trip. You keep a color-coded calendar without being asked to. You notice when a spreadsheet is a mess and can't help but fix it. If that sounds like you, you already have what this job needs — no prior "Volunteer Coordinator" title required.

We're looking for a highly organized, people-oriented person to lead our volunteer program. You'll recruit, train, schedule, and support the volunteers who help us serve our community every day. This role rewards strong systems-thinking and follow-through more than a specific job history — if you've kept a busy calendar running smoothly, managed people, or juggled multiple moving parts in retail, admin, hospitality, teaching, or customer service, you're a strong fit.

What You'll Actually Be Doing

Keeping Volunteers Organized

  • Be the go-to contact for a roster of volunteers
  • Recruit, onboard, and train new volunteers
  • Maintain volunteer records, waivers, and hour-tracking spreadsheets
  • Build and manage schedules across programs and events, and fill gaps fast when someone cancels

Building the Volunteer Pipeline

  • Recruit at community events, fairs, schools, and through partner organizations
  • Coordinate volunteer needs across departments

Creating a Program People Want to Stick With

  • Welcome and check in with new volunteers regularly
  • Plan the annual Volunteer Appreciation Dinner
  • Keep the volunteer experience positive and well-run

Running the Systems Behind the Scenes

  • Maintain digital and paper files
  • Improve policies and procedures as the program grows
  • Research and help implement better tools for tracking volunteer hours

Being Present for the Mission

  • Show up at open houses, the Appreciation Dinner, at least one parade a year, and other events
  • Some evening/weekend work required for events and outreach

What You Need to Bring

Must-Haves

  • A track record of staying organized under multiple competing priorities (this can come from any job — retail, admin, teaching, hospitality, customer service, event work, etc.)
  • Comfort managing spreadsheets, records, and basic scheduling systems
  • Strong communication skills — you can talk to a nervous first-time volunteer and a busy department head with equal ease
  • A proactive, "I'll figure it out" attitude
  • Associate's degree minimum (Bachelor's preferred, but not required if your experience shows you can do the job)

Nice-to-Haves

  • Experience supervising, training, or coordinating other people (staff or volunteers)
  • Google Suite and basic Microsoft Office familiarity
  • Bilingual in Spanish

Physical Requirements

  • Able to lift 25–40 lbs and help set up/break down tables, chairs, and event materials
  • Comfortable in both quiet office settings and busy, noisy event environments
  • Able to walk, climb stairs, and occasionally drive for tasks

Pay: $24.00 - $27.00 per hour
