Project Coordinator

CommTank is a family-owned dynamic company of 70 people that services over 32k commercial and residential customers with a team of thirty field technicians, forty office professionals and a fleet of fifty service vehicles. Our services extend far beyond tank installation, removal and maintenance to environmental consulting, third-party inspections, UST operator training and Veeder-Root certifications.

We are currently seeking an experienced, high energy, proactive and organized Project Coordinator to coordinate multiple projects and track from beginning to close-out while providing exceptional support.

Job Overview:

The Project Coordinator supports the business by organizing, coordinating, and managing various project aspects, ensuring smooth execution and timely completion, while also facilitating communication and maintaining project documentation.

Key Responsibilities:

  • Assist in the preparation of project schedules, including project timelines and milestones.
  • Coordinate project meetings, including kick-off meetings, progress meetings, and project close-out meetings.
  • Manage project documents, including plans, specifications, photos and drawings.
  • Review and coordinate with project managers the project estimates, bids, and proposals.
  • Utilize software such as HubSpot and JobTread to track project progress and manage project data.
  • Collaborate with sales reps and project managers to develop project proposals and ensure that project expenses are tracked and reported accurately.
  • Coordinate with job site personnel to ensure that project activities are executed as planned.
  • Assist in the resolution of project issues and conflicts.
  • Develop and maintain project reports, including status and close-out reports.
  • Other tasks as assigned.

Qualifications:

  • Bachelor's degree (preferred), with 1-2 years of experience in project coordination or an administrative role.
  • Excellent computer skills: Microsoft Outlook, Office, Excel, Word.
  • Familiarity with CRM systems such as HubSpot and JobTread or similar software.
  • High energy team player who works well with others and has ability to work well with cross-functional teams.
  • Excellent time management, customer service and organizational skills.
  • Growth mindset.
  • Ability to work in a fast-paced environment and to prioritize multiple projects simultaneously; able to adapt to changing priorities.
  • Strong technical aptitude to aid in project workflow including but not limited to coordination of sales and project management documents, timelines, permits, budgets, etc.
