Part-Time Administrative Assistant Role
The Part-Time Administrative Assistant is responsible for supporting company staff with daily administrative and office operations to ensure efficient workflow and excellent customer service. This role includes answering phones and emails, greeting customers, handling mail and filing, maintaining office organization, managing records and property information, assisting with accounts payable processes, and supporting general office maintenance tasks.
Administrative Assistant Job Duties
Daily
o Open/close the office each day on time
o Answer office phones and emails, and route messages and calls appropriately
o Greet walk-in customers, receive rent payments, and provide written receipts
o Maintain the Company phone system such that all messages are current and relevant
o Open mail, date stamp, and distribute
o Track bills and contracts for utilities, postage, and other Company related accounts
o Various physical and electronic filing as needed, and as directed by supervisor(s)
o Handling of outgoing mail as needed
o Maintain property key boxes and key logs
o Enter insurance certificates, lease files, and contact information into the Property Management software as needed
o Deliver deposits to bank as necessary
o Monthly file management
o Other tasks assigned by Supervisor(s)
Weekly
o Collect and empty waste bins each Friday
o Maintain clean and organized office environment for the team and customers
o Water plants
o Other tasks assigned by Supervisor(s)
Monthly
o Retrieving & sending postage reports quarterly
o Reloading the postage machine account
o Shred sensitive documents
o Sending out client birthday cards
o Keeping owner information and current managed property list updated
Accounts Payable Administration
o Scanning and filing of invoices
o Verify checks have been signed and mail checks, with invoice remittance
o Record payments by property
Pay: $20.00 per hour
