We’re seeking an Elections Specialist who shares this commitment to detail, critical thinking, and accountability.
Role Overview
The Elections Specialist will play a key role in supporting our election-related workflows. This person will ensure that all activities are executed with accuracy, compliance, and clear documentation. They will be responsible for entering election-related data, monitoring regulatory requirements, supporting customers, and offering insights to improve our elections processes over time.
We are looking for someone who thrives in a detail-rich environment, asks probing questions, thinks ahead, and takes ownership of their work and outcomes.
Key Responsibilities
- Process and maintain accurate records related to election-cycle documents.
- Verify that documents are complete, correctly entered, and compliant with state and internal policies.
- Using election management software, enter election information specific to current election that will produce ballots as well as program voting equipment.
- Monitor and track key state and internal deadlines to ensure timely execution and avoid non-compliance.
- Review, flag, and resolve discrepancies or irregularities; escalate when necessary, and propose corrective actions or process improvements.
- Serve as a resource to internal stakeholders on election-process questions, providing accurate information and maintaining high service standards.
- Assist staff with Customer Support during elections via phone or sometimes in the field.
- During the off-season, support process improvement by developing and/or delivering guidance, materials, and documentation.
- Contribute to process optimization: evaluate current workflows, recommend enhancements, document procedures, and help drive implementation of changes.
- Participate actively during election periods—this will likely involve non-standard hours and weekends when necessary (approximately 4 times/year).
- Hold yourself accountable to performance standards, audit requirements, and team objectives; maintain confidentiality and integrity in all tasks.
Qualifications
Required:
- High school diploma or equivalent; college coursework in business or related field preferred.
- Demonstrated experience (e.g., 2 years) in an administrative, operational, or technical role—preferably in elections or regulatory environment.
- Strong attention to detail and accuracy; experience handling complex records or data sets.
- Proven ability to think critically: identify issues, ask the right questions, analyze information, propose solutions.
- Ability to own tasks end-to-end: set priorities, meet deadlines, and follow through without needing constant oversight.
- Excellent written and verbal communication skills as well as grammar / spelling.
- Comfortable working in fast-paced, deadline-driven environments; flexible schedule availability during peak periods.
- Proficient with MS Office suite (SharePoint, Excel, Word, Outlook) and comfortable learning new systems/databases.
- Successful applicants will be required to pass a background check which includes a review of their driving record.
Preferred:
- Familiarity with election law, voting processes, precinct operations
- ·Experience working in a government or regulated environment with strong compliance requirements.
