Responsibilities
- Greet visitors and clients warmly, providing excellent customer support and ensuring a positive experience
- Manage multi-line phone systems efficiently, directing calls to appropriate personnel with professional phone etiquette
- Handle incoming correspondence, emails, and inquiries promptly and accurately
- Maintain organized filing systems, data entry records, and manage office supplies inventory
- Support calendar management and appointment scheduling for staff using tools like Google Workspace or Microsoft Office
- Assist with basic bookkeeping tasks using QuickBooks or similar software, including invoicing and expense tracking
- Perform clerical duties such as proofreading documents, managing office documentation, and supporting administrative projects as needed
Qualifications
- Proven experience in front desk or office management roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong data entry skills with high accuracy and attention to detail
- Bilingual abilities (English/Spanish or other languages) are highly preferred to serve diverse client needs
- Demonstrated customer service experience with professional phone etiquette and interpersonal skills
