Position Overview
The Client Services Specialist manages client scheduling, caregiver coordination, and service coverage to ensure all client care shifts are filled and care plans are followed. This role requires strong communication, scheduling, and customer relationship management skills.
This position works closely with caregivers, recruiting staff, management, and client families to maintain reliable service delivery and high client satisfaction.
Key Responsibilities
- Coordinate and manage daily client scheduling and caregiver assignments
- Ensure all client care shifts are staffed and covered
- Communicate caregiver staffing needs at least two weeks in advance
- Match caregivers with clients based on skills, availability, and care needs
- Maintain and update client Plans of Care within scheduling software
- Close scheduled shifts daily for accurate payroll and billing
- Communicate with clients and families regarding schedule updates, service needs, and policy questions
- Document caregiver availability, time-off requests, and schedule changes
- Proactively plan and coordinate holiday scheduling coverage
- Collaborate with the Recruiting/Retention Specialist and management to maintain appropriate staffing levels
- Participate in on-call scheduling rotation according to company protocols

Qualifications
- High school diploma required
- 2 years of experience in scheduling, healthcare coordination, client services, or staffing. ClearCare/Wellsky scheduling experience strongly preferred
- Experience in home care, healthcare, or service scheduling environments preferred
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Ability to learn healthcare scheduling software and calendar systems
- Excellent communication, organization, and multitasking skills
- Strong attention to detail and ability to manage multiple priorities

- Occasional assistance with client services requiring lifting up to 25 pounds
