The Scheduling Coordinator manages client scheduling, staff coordination, and administrative processes to support efficient daily operations. Essential Duties and Responsibilities
- Coordinate client services, scheduling, and administrative operations.
- Schedule intake appointments, therapy sessions, and client assignments while maintaining accurate records.
- Manage scheduling changes, cancellations, and communication with clients, technicians, BCBAs, and administrative staff.
- Maintain client information, insurance details, and documentation within Rethink.
- Monitor schedules, fill openings, and support productivity goals.
- Review daily communications and provide updates to appropriate team members.
- Support billing by responding to client account inquiries.
- Track scheduling concerns, including frequent cancellations or missed sessions, and escalate as needed.
- Communicate with insurance providers and assist with administrative tasks as assigned.
- Maintain compliance with company policies, safety standards, HIPAA, and health regulations.
Minimum Qualifications
- High school diploma required.
- Experience in scheduling, healthcare administration, office management, or human resources preferred.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Ability to work independently while maintaining accuracy and accountability.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
- Bilingual-(Spanish)
Preferred Knowledge & Experience
- Customer service experience working with clients, families, and healthcare teams.
- Knowledge of Applied Behavior Analysis (ABA) or behavioral health services preferred.
- Ability and willingness to learn industry terminology, regulations, and best practices.
Work Environment & Physical Requirements
- Must be able to work at assigned locations as required.
- Ability to sit, stand, walk, bend, kneel, reach, push, and pull as needed.
- Ability to lift up to 25 pounds.
- Ability to use office equipment and technology effectively.
