Job Overview
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Responsibilities

  • Greet visitors warmly and direct them appropriately, maintaining a professional and friendly demeanor at all times
  • Manage multi-line phone systems, answer inquiries promptly, and route calls accurately using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail
  • Maintain organized filing systems, perform data entry, and ensure accurate record-keeping for office documents
  • Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office
  • Support office management tasks such as proofreading documents, managing supplies, and assisting with clerical duties like photocopying and filing
  • Provide exceptional customer service by addressing inquiries efficiently and supporting visitors or clients with their needs

Qualifications

  • Proven experience in an office environment or as a receptionist, with strong clerical skills and familiarity with office management procedures
  • Excellent computer literacy, including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems and phone etiquette to handle high-volume calls professionally
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Attention to detail in proofreading documents and maintaining accurate records
  • Prior experience in medical or dental receptionist roles is a plus but not required; personal assistant experience is also beneficial
  • Knowledge of QuickBooks or bookkeeping experience is advantageous for handling basic financial tasks
