About the Role
A private family office in Uptown Dallas is seeking a sharp, discreet, and highly organized Executive Assistant to provide comprehensive support to the President of the office, while also supporting the Chief Investment Officer and the broader team as needed. You'll be the person who protects the President's time, manages the details, and keeps both personal and professional matters running smoothly. The role calls for exceptional organization, strong judgment, and complete discretion in a fast-paced, ever-changing environment.

What You'll Do
- Executive & administrative support: Serve as the primary support to the President, safeguarding his time, information, and exposure with the utmost discretion.
- Calendar & meeting management: Own scheduling for meetings, appointments, calls, and events — in-person and virtual — keeping every detail organized and tasks moving.
- Communication & documentation: Handle personal mail and invitations, triage and flag important emails, set reminders for follow-through, and maintain organized electronic and paper files.
- Office & task management: Prepare expense reports, pay bills as needed, track charitable donations and political contributions, maintain petty cash, keep the office and kitchen stocked and orderly, manage office technology (printers, AV), and coordinate the company courier's schedule, expenses, and weekly payroll.
- Special projects & ad-hoc tasks: Support a variety of projects as they come up, including for other family members, and coordinate event ticket requests and distribution.
- Travel & accommodations: Arrange travel (flights, hotels, ground transportation), coordinate with the jet management company, property managers, and staff, and assist with itineraries for family and guests.
- Event management: Set up social and business events end to end (catering, valet, etc.), partner with organizers and fundraisers, track headcount and expenses, and attend events as needed.
- Vendor & relationship management: Maintain relationships with property managers, contractors, and vendors; coordinate scheduling and maintenance.
- Confidentiality: Maintain absolute confidentiality and discretion across all personal and office matters.
What We're Looking For
- Proven experience as an Executive Assistant or in a similar high-level administrative role
- Experience coordinating with CEOs, senior government officials, and other VIPs
- Strong organizational, time-management, and multitasking skills with sharp attention to detail and reliable follow-through
- Excellent written and verbal communication
- Exceptional work ethic paired with patience, humility, emotional intelligence, and a positive attitude
- Proactive, resourceful, and solution-oriented — equally comfortable working independently and as part of a team
- Calm under pressure and able to juggle competing priorities without losing your footing
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and a growing comfort with AI tools (ChatGPT, Claude, etc.)
- Notary Public certification preferred, or willingness to obtain it
