Job Summary:
Answering the practice switchboard during business hours. Facilitating the proper routing of messages to the physicians and staff. Ensuring that the phones are answered in a timely and professional manner. Demonstrates professionalism and appropriate customer service skills and expertise in explaining practice policies to patients. Knowledge of PM/EMR system Athena, preferred.
Essential Job Duties:
1. Demonstrates a professional positive attitude towards, patients, visitors, coworkers and physicians by conducting self in a professional courteous manner.
2. Recognizes the need to adhere to a code of conduct that promotes a harmonious and cooperative work environment.
3. Recognizes the need for confidentiality in dealing with patients, physicians and coworkers.
4. Answers the phone within three (3) rings, route calls and takes accurate and complete messages.
5. Maintains appropriate knowledge of the phone system.
6. Demonstrates the ability to handle multiple calls simultaneously, accurately and professionally.
7. Accurately schedule patient appointments.
8. Accurately takes information pertaining to hospital consults and uses the correct protocol in paging the requesting physician.
9. Communicates with the Answering Service on any changes in the physician schedules such as vacations and on-call coverage.
10. Ensures consults are seen through the daily log from the Answering Service
11. Reads and monitors patient alert notes following protocol to ensure proper scheduling.
12. Loads correct demographic and insurance information into Athena.
13. Ensures all referring physicians’ office faxes, referrals, medical records, and any other information on new patient appointments.
14. Follow up with appointments that have been cancelled or rescheduled.
15. File, correct, update information in patient charts.
16. Knowledge of PM/EMR system, and work Athena buckets to route documents according to protocol.
17. Operate paging system per protocol.
18. Post patient payments.
19. Patient counseling as assigned.
20. Monitor the obituaries for deceased patients.
21. Handle new patient calls from physician offices.
22. All other duties as assigned.
Minimum Qualifications:
Education: High School graduate or equivalent required.
Experience: Minimum of one (1) year experience working in a physician’s office.
2-3 years of prior switchboard. Knowledge of Athena application preferred.
Licensure/Certification: None required.
Skills:
Above average communication skills and ability to relate effectively to the public and health care professionals.
Knowledge of transmission, switching, control and operating the phone system.
Ability to work independently.
Demonstrates strong interpersonal skills and teamwork.
Organized and able to effectively prioritize.
