Secretary
F.T. (40) or PT (32) position with comprehensive benefits, eligibility for generous paid leave benefits, agency retirement plan, and an employee assistance program. General typing correspondence including: form completion, evaluations, various reports, minutes, surveys, notices, memos, certificates, policies, manuals, etc. will be efficiently and accurately completed within specified time frames. Accurate logging of such information, as applicable will be maintained in a log and available for supervisor review. Utilize agency computer system including accurate data entry to produce maximum high quality work. Answer and respond to telephone calls, assisting clients, outside agencies, and co-workers as needed and efficiently receive and send distribute agency faxes or e-mails, as applicable. Consistently act appropriately and professionally as a liaison to various outside agencies. Maintain a pleasant demeanor with all staff, clients and the general public and outside organizations. Maintain strict confidentiality standards according to HIPAA guidelines, agency requirements. Timely processing of agency document manager. Maintain an accurate log of closings. Daily entry/maintenance of blocked time and/or planned events for staff and consistently inform receptionist accordingly. Per assignment, logging of billing dept. checks, consistently verify accuracy of all documentation scanned in by one other secretary determined by supervisor and consistently report any errors found to supervisor. Specified medical records duties including but not limited to scanning records, electronic chart checking, processing closings, entering route slip info, pulling, filing charts, etc. As assigned/applicable, specified dept. duties, per location or related to as needed, applicable billing, medical records, or other departments. Provide back-up coverage as required. Work flexible hours, if needed, ability to routinely meet department specific productivity expectations.
Minimum Requirements:
High School diploma or GED, and one year related secretarial experience required. Good knowledge of modern office practices/procedures, office equipment and Business English and grammar. Computer knowledge. Microsoft Office (Word), and ability to operate computer keyboard required. Training in medical terminology and medical records and knowledge of Excel preferred. Ability to type at the rate of 40-60 WPM, lift large file folders of up to @8 lbs. each, or boxes of charts up to 30 lbs. on limited occasion. Present a positive image as an agency representative and maintain a professional attitude in communicating with staff and the general public; work effectively and accurately in an atmosphere of interruptions; be flexible in changing job duties as required; work independently as well as within a team; be organized and pay attention to detail.
