Position Overview
As a Document Control Specialist at Columbia Energy, you will be responsible for the organization, management, and control of project documents and records, ensuring compliance with federal regulations, contractual obligations, and NQA-1 standards where applicable. You will work closely with teams across engineering, fabrication, and quality assurance, supporting documentation processes from project initiation through completion.
This role requires both independent work and collaboration across departments to ensure document control processes align with our commitment to quality, safety, and customer satisfaction.
Essential Responsibilities & Duties
Document Control & Compliance
- Manage document control processes to ensure compliance with Department of Energy (DOE) directives, NQA-1 standards, and internal guidelines.
- Oversee the distribution, revision, tracking, and archiving of project documents, ensuring accuracy and regulatory compliance.
- Support change control processes, including tracking document revisions, approvals, and maintaining revision histories.
- Perform audits and quality checks on records management practices to ensure compliance throughout the project lifecycle.
Project Support & Collaboration
- Collaborate with project teams to ensure document control workflows align with quality assurance standards and customer requirements.
- Support the development, compilation, and delivery of comprehensive documentation packages to clients.
- Maintain clear and consistent communication with internal teams and external stakeholders to ensure timely and accurate documentation.
Training & Continuous Improvement
- Provide training and guidance to project teams on document control standards and processes.
- Assist in the continuous improvement of document management procedures to enhance quality and efficiency.
Required Qualifications
- High school diploma with 2 years of relevant experience, or associate degree with 1 years of experience in document control, records management, or a related field.
- Strong attention to detail with the ability to manage large volumes of documentation across multiple projects.
- Proficiency in document control systems and software, with a solid understanding of records management lifecycle processes.
- Ability to collaborate effectively with cross-functional teams while maintaining a customer-centric approach.
- Strong organizational and communication skills with the ability to manage competing priorities and meet deadlines.
- Must pass background check, employment verification, and drug screening.
- Due to government contract requirements, applicants must be U.S. citizens.
Preferred Qualifications
- Experience working under NQA-1 or ISO 9001 quality programs.
- Familiarity with document control requirements for Department of Energy (DOE) projects or other highly regulated environments.
- Experience supporting quality assurance initiatives where document management is critical.
