Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
- Maintain accurate data entry and filing systems, including digital records using Microsoft Office applications
- Handle data entry tasks using QuickBooks such as entering incoming bills, creating invoices to be sent to customers, and entering customer payments.
- Assist with bookkeeping tasks using QuickBooks to support basic financial recordkeeping
- Provide exceptional customer support by addressing inquiries via phone or email and ensuring client satisfaction
Requirements
- Strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Excel & Word
- Prior experience in administrative roles such as reception or personal assistant positions is highly desirable
- Excellent typing skills along with strong time management abilities to prioritize tasks effectively
- Bilingual capabilities are a plus to serve diverse clients and team members effectively
- Knowledge of office equipment including multi-line phones and printers
- Experience with clerical functions such as filing, data entry, proofreading, and calendar management
- Familiarity with construction related office procedeures is advantageous but not mandatory
- Demonstrated customer service skills with professional phone etiquette and the ability to handle multiple priorities calmly
