What are the responsibilities and job description for the Surgery Scheduler position at COLORADO SPRINGS ORTHOPAEDIC GROUP?
Summary: Assists with ensuring goals are achieved, timelines met and service excellence provided in all aspects of work. This position is responsible scheduling surgeries, facilitating physicians work schedules with respect to surgery; interfacing with clinical staff, physician’s offices and other hospitals; facilitating the efficient and smooth operation of the department by completing support activities as assigned.
Essential Duties and Responsibilities: Core duties and responsibilities include the following.
- Interacts with patients in a prompt, pleasant and helpful manner using a multi-line telephone system
- Maintains and updates current patient information, as needed.
- Puts surgery packets together; ensures all packets are complete
- Completes scanning and filing as required to ensure complete patient documentation
- Performs computer data entry and successfully retrieves patient documents from various portals and resources.
- Insurance authorization for outgoing referrals and tests as required for STAT orders, as needed or requested.
- Coordinates scheduling and ordering of resources and equipment to ensure both caregivers and equipment are in place for surgeries and/or procedures to maximize efficiencies in the providers’ schedules and streamline of patient flow.
- Helps the primary medical assistant run clinics on scheduled days.
- Providers coverage for the medical assistant when out of office.
- Collects information related to scheduling procedures, efficiently and effectively enters case into various scheduling systems and coordinates the procedure time.
- Obtaining authorizations, pre-determinations from various insurance companies for scheduled procedures, surgeries and/or tests.
- Obtains retro authorizations within the allotted time from insurance company for procedures that differ from original authorization.
- Supports patients and families in understanding the course of pre-operative preparations and testing.
- Creates and maintains daily schedule by arranging cases to ensure maximum effectiveness of physician and physician assistants by completing edits in a timely manner, as directed by physician.
- Monitors cancellation of procedures and takes appropriate action.
- Gathers documentation and assists in assembling patient surgical/procedural charts.
- Identifies potential resource conflicts and works with appropriate personnel to resolve.
- Provides coverage for coworkers as required; check out, patient scheduling.
- Maintains patient confidentiality and follows HIPAA guidelines
- Performs all other tasks and projects assigned.
EDUCATION AND/OR EXPERIENCE:
- High School Graduate or equivalent required.
- Certified or Registered Medical Assistant certificate
- Current BLS
- Medical terminology preferred.
- Surgery scheduling background strongly recommended. Effective skills in problem solving, verbal and written communication skills, organizing and disseminating information with previous demonstrated positive outcomes.
Salary : $21 - $25
