JOB SUMMARY
Under the general supervision of the Manager or designee, the Office Assistant provides clerical support to the office of the Water Wheel Resort; answers and directs telephone calls, receives and enter payments, assists with daily financial reports and to be knowledgeable of the full operations of the Water Wheel Resort office. Associated duties with the daily operation of retail store.
DUTIES AND RESPONSIBILITES:
Duties may include, but are not limited to the following and additional duties may be assigned from time to time.
· Daily operation of the store including cash register operation and receiving orders
· Daily operation of resort office including answering phones, filing and general office duties
· Preparation of daily bank deposits and sales reports
· Processing lease payments from tenants and maintaining accounts receivable
· Preparation of check requests for payment of bills and maintaining accounts payable
· Maintaining petty cash balances
· Monitor inventory levels in the store and notify Office Associate of need to purchase resale Items and office supplies
· Responsible for operation of POS system, update inventory as received, checking and assigning prices in the cash register and assuring barcodes are scanning correctly
· Maintains tenant lease accounts and contacts persons whose accounts become past due
· Prepares tenant leases and maintains computer records and hard copies of tenant information.
· Must maintain a level of high confidentiality
KNOWLEDGE, SKILLS AND ABILITIES:
· Ability to maintain a good relationship with other employees
· Ability to maintain a professional image and relationship with customers, tenants and vendors
· Ability to efficiently operate a computer, scanner copier; and have a working knowledge of Microsoft Word, Excel, QuickBooks
· Physically able to perform duties assigned
· Weekend and holiday work availability
· Occasionally work extended shifts as assigned
MINIMUM QUALIFICATIONS:
· High School Diploma or GED.
· Current valid driver’s license with a satisfactory driving record.
· Minimum of three (3) years’ experience in clerical and office duties.
