STATEMENT OF DUTIES

Summary Of Job Classification

Performs skilled administrative, customer service, and technical support work related to court operations: Docket management, courtroom duties, case processing, managing the full life cycle of multiple case types within the Clerk of Court’s office. Works independently under general supervision and may guide newer staff.

Judicial Clerk II | Colorado Judicial Branch

Please note: There are two requisitions posted one for Judicial Clerk I and one for Judicial Clerk II . We will fill one position within this series based on the district's hiring needs and the qualifications and relevant experience of the selected applicant.

Essential Functions

To perform this job successfully, an individual must be able to perform assigned essential functions listed below satisfactorily. Functions assigned may be related to specific court room or clerk’s office responsibilities only or a combination of both.

  • Provides case management, customer service, and judicial officer support for clients, officers, and other judicial staff over the counter, in the courtroom, and via phone and email including filing, scanning, and uploading documents. Instructs customers on case types and procedures. Shares applicable information for law enforcement, attorneys, correctional officials, and other outside agencies.
  • Responds to customer's inquiries over the counter, via phone, email, and voice mail. Acts as liaison between division/Judicial Officer and customers, directs parties to correct location and/or divisions, de-escalates situations of stress or conflict, and explains court processes without providing legal advice.
  • Creates, processes, and manages electronic and paper-filed case documentation, including entering and tracking codes related to case status, processing exhibits, plea agreements, sentencing, restitution, court ordered fees, notices, court orders, post bonds, bond forfeitures, warrants, and protection orders. Assists with record retention.
  • Maintains case management system, including reviewing and updating case status and case screening, preparing case for assigning to court divisions, reviewing and issuing complex orders from the court, and managing case status reports.
  • Processes payments. Reconciles cash drawer and prepares the daily deposit.
  • Provides direct support and communication to judicial officers, including drafting and revising court orders, maintaining calendars, preparing and submitting mileage reimbursement, and composing correspondence.
  • Processes opinion issuance, including reviews and submissions from chambers to the clerk’s office, maintains the weekly opinion announcement, reviews and edits opinion captions, transmits opinions to legal research vendors, and updates the case management system with opinion related deadlines and status.
  • Performs courtroom management including preparing daily dockets, ensuring courtroom cleanliness and stock of supplies, checking-in and directing parties, and ensuring proper case flow.
  • Assists with courtroom audio/visual, recording, and virtual conferencing systems to ensure accurate and clear recordings of all hearings.
  • Schedules interpreters as needed.
  • Participates in cross-training to assist courtrooms and dockets across the district and facilitate coverage in different areas/divisions.
  • Performs other duties as assigned.

Supervisor Responsibilities:

Work requires the occasional direction of helpers, assistants, seasonal employees, interns, or temporary employees. The work performed by majority of employees is semi complex.

Human Collaboration

Work may require providing advice to others outside direct reporting relationships on specific problems or general policies. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas. Interactions have limited impact.

Freedom To Act & Impact Of Actions

Employees normally perform assignments after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few, easily identifiable choices. The assignment is usually reviewed upon completion. Impact of actions are moderate

Knowledge & Skills

Work requires comprehensive, practical knowledge of work processes. Incumbent can complete a broad range of work, sometimes complex, without frequent reference to others. Likely impact on organization is standard.

Fiscal Responsibility

May be responsible for the billing, collection and/or accounting of funds. May be responsible for the handling and balancing of cash.

Minimum Qualifications

Education and Experience Equivalency:

High school diploma or G.E.D

Work Related Experience

At least one (1) year of experience as a Judicial Clerk I or Court Judicial Assistant for the Colorado Judicial Department.

OR

At least one (1) year of relevant work experience in a position similar to the Judicial Clerk I position.

Licenses And Certifications

None.

Physical Effort Requirements

Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally.

Relatively free from unpleasant environmental conditions and/or hazards.

Work Location:

Office or similar indoor environment.

Exposures

Individuals who are hostile or irate; individuals with known violent backgrounds.
