Operations Coordinator (Front Desk)

Overview
Colorado Flight Center is seeking a reliable, professional, and enthusiastic Operations Coordinator to serve as the hub of daily activity at our flight school and pilot center. This position is the face of our organization — welcoming guests, supporting instructors and students, coordinating schedules, and ensuring smooth day-to-day operations.
Key Responsibilities
- Front Desk & Communication
- Greet and assist visitors, students, and instructors.
- Answer and direct phone calls and emails in a timely, professional manner.
- Manage inbound inquiries from the website, phone, and walk-ins.
- CRM & Administrative Tasks
- Maintain and update the company’s CRM system.
- Process student onboarding paperwork and other documentation.
- Track leads, prospects, and customer communications.
- Scheduling & Coordination
- Schedule prospect consultations, discovery flights, aircraft rentals, etc.
- Coordinate with flight instructors and maintenance to ensure operational efficiency.
- Manage FAA written exams and proctor tests according to FAA guidelines.
- Customer Service & Sales
- Support flight students and their families with questions and resources.
- Run the pilot shop: assist with merchandise, inventory, and point-of-sale operations.
- Provide information and scheduling assistance for discovery flights and scenic tours.
- Office Management
- Maintain a clean, organized, and professional front office and lobby area.
- Ensure operational readiness of office equipment.
- Support company events, meetings, and other administrative projects as needed.
Qualifications
- Strong verbal and written communication skills.
- Professional, friendly demeanor and strong attention to detail.
- Excellent organizational and multitasking abilities.
- Comfortable with computers, email, and CRM systems (training provided).
- Ability to learn basic aviation terminology and procedures (prior aviation experience a plus).
- Must be dependable, punctual, and proactive.
Preferred Experience
- Prior customer service or administrative experience (hospitality or aviation industry preferred).
- Familiarity with Google Workspace, scheduling software, and CRM systems.
- Experience handling cash or retail transactions.
- FAA testing center or PSI testing experience is a plus.
Job Types: Full-time, Part-time
Pay: $17.50 - $18.50 per hour
Expected hours: 30 – 40 per week
