Primary Purpose:

The Education Foundation Office Manager oversees the management of the Education Foundation programs, events, and finances.

 

Qualifications:

Education/Certification:

B.S. or B.A. (preferably in business, marketing, or communications)

 

Special Knowledge/Skills:

  • Able to keep confidentiality of donor records and correspondence
  • Strong attention to detail and proofreading skills
  • Skilled at multi-tasking and taking initiative
  • Exhibits a strong “can do” attitude
  • Strong communication skills both verbal and written – must have ability to communicate with donors, board, media, teachers, staff, and parents
  • Knowledge and experience using QuickBooks preferred
  • Proficient computer skills – high level of knowledge using Microsoft Excel a must; preferred knowledge of Microsoft Word, Publisher, Adobe Creative Suites, and Google Drive
  • Comfortable with learning new software applications, experience with SmarterSelect and/or Donor Perfect a plus

 

Major Responsibilities and Duties:

  • Oversees all donations and expenses for the Education Foundation through QuickBooks for over $1 million in income, including but not limited to:
    • Running financial reports for board
    • Updating EF Board Treasurer with financials monthly
    • Coordination with our investment firm regarding the board allocated fund and endowed scholarships
    • Tracking all donations – including talking with donors; maintaining donor database
    • Balancing checking and money market accounts monthly
    • Managing and creating Excel spreadsheets for endowments and scholarships – this requires a high-level knowledge of Microsoft Excel
  • Works with auditors to provide all financial information, board correspondence, minutes and QuickBooks information to complete annual audit or review
  • Coordinates grant selection and awarding – including software application process, setting up budgets; oversees spending and monitoring implementation, helps with Grant Patrol day – including all coordination with principals, staff, and media
  • Coordinates scholarship program – including application software design and selection, contacting annual donors, managing scholarship donations, planning scholarship reception, and issuing payments to colleges for scholarship
  • Assists with managing details for 50 Men Who Can Cook including all contacts with Celebrity Chefs, coordination with the Brazos County Expo and other vendors, volunteer signup sheet and coordination, ticket sales and all monies that are raised through event
  • Coordinates Employee Giving program – including securing incentives, scheduling and helping make campus presentations at each campus, overseeing all monies and working closely with payroll on employee paycheck deductions
  • Maintains Donor Perfect (donor management software) – working with confidential information, sending out tax receipts to donors, running fundraising analysis, and forecasting reports
  • Communicates regularly with donors, EF board members, teachers, students, and parents on a regular basis
  • Plans, organizes, and communicates with the EF Board regarding monthly EF Board meetings
  • Perform other related duties as assigned within the appropriate skill and experience capabilities expected for this position.

Regular district-wide travel to multiple work locations as assigned. Regularly sit, talk or hear; frequently required to use hands to finger, handle, or feel; frequent repetitive hand motions; prolonged use of computer; occasionally lift and/or move up to 50 pounds; occasionally required to stand, walk, reach with hands and arms; vision abilities include close vision; and color vision, regularly work with frequent interruptions, maintain emotional control under stress; the noise level is usually moderate.  The employee may spend long hours in intense concentration which requires attention to detail.  There are a number of deadlines associated with this position, which may cause significant stress.  The employee must also deal with a wide variety of people on various issues.  Regularly perform multiple, highly complex, tasks with a need to periodically upgrade skills in order to meet changing job conditions and compliance with legal guidelines. Flexibility is required to independently work with others in a wide variety of circumstances. Occasionally work weekend and evening hours.  Predictable and regular attendance expected.
