Job Summary
The Administrative Assistant provides clerical and organizational support to ensure efficient office operations. This role supports staff and the congregation through a variety of tasks related to communication, scheduling, recordkeeping, and general office coordination.
Key Responsibilities
- Answer and direct phone calls, emails, and other correspondence
- Schedule meetings, appointments, building use, and maintain calendars
- Prepare and edit documents, reports, and presentations
- Maintain filing systems (electronic and/or paper)
- Order office supplies and manage inventory
- Assist with data entry and database management, including membership roll
- Coordinate travel arrangements and meeting logistics
- Greet visitors and provide general administrative support
- Prepare bulletin/newsletter and slides for weekly worship and special services
- Maintain the church’s website and social media sites (e.g. Facebook)
- Basic bookkeeping and accounting tasks in support of the church Treasurer
- Assist in scheduling building maintenance and repairs in coordination with the church Board of Trustees
- Support special projects and perform other duties as assigned
Required Qualifications
- High school diploma or equivalent (associate or bachelor’s degree preferred)
- Proven experience as an administrative assistant or similar role
Preferred Skills
- Proficiency with applications like Google Workspace Apps, MacOS, Apple Keynote, Wordpress, and MailChimp, and other relevant web apps, or proven aptitude to learn such applications quickly
- Strong organizational and time management skills, and attention to detail
- Excellent written and verbal communication skills
- Ability to multitask and prioritize tasks effectively
- Basic bookkeeping or accounting knowledge
- Ability to maintain confidentiality and exercise discretion
Work Environment
- Full-time (40 hours per week)
- As a prominent face of the church, the administrative assistant is expected to work on-site.
- Hours: Monday through Friday, 8:00 am – 5:00 pm
Compensation
- Hourly wage based on experience and qualifications, hiring in the range of $17 - $21/hr.
