Front Desk Receptionist / Warehouse Support

The Front Desk Receptionist serves as the first point of contact for prospective students, current students, clients, staff, and visitors at COLLECTIV Academy. This position is responsible for delivering exceptional customer service while supporting front desk operations, administrative functions, student services, clinic scheduling, inventory management, and warehouse-related duties. The ideal candidate is organized, detail-oriented, professional, and capable of managing multiple responsibilities in a fast-paced educational environment.

Essential Duties and ResponsibilitiesFront Desk & Customer Service

  • Greet and assist students, clients, visitors, and vendors in a professional and welcoming manner.
  • Answer incoming phone calls promptly and professionally.
  • Schedule and book client appointments for cosmetology and esthetics services.
  • Return phone calls, voicemails, and inquiry messages in a timely manner.
  • Provide information regarding services and service pricing.
  • Check clients in and out for services and process transactions.
  • Maintain a clean, organized, and professional reception area.
  • Respond to inquiries via phone, email, text message, and other communication platforms.
  • Manage and update student schedules in Mango Mint as directed by school administration.
  • Receive and distribute mail, packages, and deliveries.

Administrative & Back Office Duties

  • Assist in creating and maintaining student files and records as directed.
  • Perform data entry as directed.
  • Scan, upload, file, and archive documents in accordance with institutional policies.
  • Support various departments with administrative projects and office organization as directed and as needed.
  • Maintain confidentiality of student and employee information.

Warehouse & Inventory Responsibilities

  • Build and assemble student kits and classroom supplies when directed.
  • Unbox, label, stock, and distribute products and supplies.
  • Conduct inventory from time to time as needed.
  • Assist with inventory counts and inventory management processes.
  • Assist in assembling student kits.
  • Pack and load academy vehicles for transportation of student kits, supplies, equipment, and event materials as needed.
  • Unload and organize incoming and outgoing shipments.

Physical Requirements

  • Ability to regularly lift, carry, push, and move boxes, supplies, and equipment weighing up to 50 pounds.
  • Ability to stand, walk, bend, reach, and move throughout the facility for extended periods.
  • Ability to load and unload inventory, student kits, and academy supplies.
  • Ability to safely operate carts, dollies, and other equipment used for transporting materials.
  • Assembly of equipment or office furniture when needed.

Additional Responsibilities

  • Assist with academy events, student activities, career fairs, and community outreach events.
  • Support campus operations as needed to ensure an exceptional student and client experience.
  • Perform other duties as assigned by management.

Qualifications

  • High school diploma or equivalent required.
  • Previous receptionist, administrative assistant, customer service, or office experience preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency with Microsoft Office, Google Workspace, and office technology.
  • Ability to maintain professionalism and confidentiality.
  • Experience in a salon, spa, educational, or customer service environment is preferred.

Work Environment

This position operates in a cosmetology and esthetics school environment that includes front desk operations, classrooms, clinic floors, warehouse/storage areas, and administrative offices. The position may require occasional evening, weekend, and event-related work.

Pay: $18.00 - $21.00 per hour
