Job Description:
We are seeking a proactive and organized Administrative Coordinator with exceptional attention to detail and the ability to manage multiple priorities efficiently. This role provides essential administrative and operational support to the management team, ensuring smooth daily operations and excellent customer service in a dynamic environment.
Key Responsibilities
- Manage daily office operations to maintain efficiency and organization.
- Handle phone calls, emails, and visitor inquiries in a professional manner.
- Support management with scheduling, correspondence, and documentation.
- Maintain accurate financial and administrative records, including transactions and reports.
- Coordinate purchasing and inventory of office supplies.
- Assist with onboarding new employees and HR-related tasks.
- Prepare reports, spreadsheets, and presentations as needed.
- Contribute to process improvement and team development initiatives.
Qualifications
- 2–5 years of experience in office administration or a related role.
- Bilingual in English and Spanish (required).
- Strong written and verbal communication skills in both languages.
- Proficient in Microsoft Office and general administrative software.
- Knowledge of basic bookkeeping and recordkeeping practices.
- Excellent organizational and multitasking abilities.
- Reliable, self-motivated, and able to work in a fast-paced environment.
- Experience in the construction industry is a plus.
Education
- Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
- Additional certifications in administration, accounting, or HR are a plus.
