Job Summary
We are seeking a motivated, organized, and detail-oriented Office & Operations Coordinator to support daily office operations and serve as a key point of coordination across departments. This role includes hands-on training during a transition period as a current employee exits the position, ensuring continuity, knowledge transfer, and long-term success. The position requires flexibility to work both in the office and within the manufacturing environment as needed.
The ideal candidate is adaptable, eager to learn, and comfortable evolving with a growing business, including learning new ERP systems and supporting both office and production functions.
Key Responsibilities
Team Collaboration
- Communicate effectively with internal teams to support order processing, production scheduling, shipping coordination, and inventory tracking
- Assist in maintaining strong working relationships with suppliers and vendors
Inventory & Office Management
- Maintain office supply inventory and consumables for both the office and manufacturing floor
Shipping, Receiving & Dock Audits
- Conduct dock audits to verify order accuracy, quantities, and packaging prior to shipment
- Prepare shipments following dock audits, including shrink wrapping, banding, labeling, and staging for carrier pickup
- Coordinate and validate all incoming and outgoing shipments to ensure accuracy, completeness, and timely delivery
Production & Shipping Quality Checks
- Perform quality checks on production output and outgoing shipments to ensure products meet company standards, order requirements, and documentation accuracy
- Report discrepancies, damage, or quality concerns to management for resolution
Sales Order & Customer Support
- Process sales orders and maintain accurate records
- Respond to customer inquiries via phone and email regarding product information, pricing, order status, warranty claims, and general support
- Provide a high level of customer service and assist in resolving issues in a timely manner
Sales & Marketing Support
- Support Sales and Marketing representatives with administrative tasks and business-to-business customer coordination
Administrative Support
- File, organize, and maintain physical and electronic paperwork and records
- Perform additional administrative and operational duties as assigned by management
Qualifications
- High School Diploma or equivalent
- Strong written and verbal communication skills
- Minimum of 2 years of customer service experience
- Proficiency with Microsoft 365 (Outlook, Word, Excel)
- Experience with QuickBooks
- Willingness and ability to learn new ERP systems and adapt to evolving business processes
- Ability to work in a manufacturing environment, including:
- Standing, walking, kneeling, and bending for extended periods
- Lifting and moving materials (within safety guidelines)
- Performing shrink wrapping, banding, and labeling tasks
- Strong organizational skills and attention to detail
- Positive attitude with a willingness to learn, grow, and evolve with the business
