Position Summary
The client is looking for Document Management Specialist.
Required Qualifications and Skills:
- Document Retrieval & Verification
- Monitor and review the Iron Mountain FTP site to confirm all required files are successfully downloaded.
- Ensure completeness and accuracy of retrieved documents before further processing.
- Document Management & Organization
- Apply standardized naming conventions when uploading files into Documentum.
- Maintain backup copies of documents by securely transferring them to designated SharePoint sites.
- Organize and maintain structured document repositories to support easy retrieval and audit readiness.
- Data Quality & File Optimization
- Conduct regular reviews of shared file locations (e.g., S drive, SharePoint) to identify duplicate or redundant files.
- Consolidate and relocate documents to appropriate repositories to improve system efficiency and usability.
- Real Estate Documentation Support
- Review scanned deed files, separate and categorize documents appropriately, and update associated land schedules.
- Ensure real estate documentation aligns with internal tracking systems and reflects accurate property records.
- Records Evaluation & Compliance
- Analyze scanned documents from Iron Mountain to determine relevance to Client’s real estate portfolio.
- Assign proper classification and filing to ensure compliance with document retention and governance standards.
