Position Overview
We are seeking a highly organized and proactive Office Administrator & Executive Assistant to support senior leaders while managing the day-to-day operations of our Princeton office. This role combines executive support, office administration, stakeholder coordination, and event management to ensure a productive and professional workplace environment.
The ideal candidate will be detail-oriented, resourceful, and comfortable managing multiple priorities in a fast-paced setting. This position requires an on-site presence in Princeton five days a week and flexibility to occasionally arrive early or stay later to support meetings, leadership visits, and office events.
Key Responsibilities
Executive Support
- Provide administrative support to multiple senior leaders.
- Manage calendars, meetings, travel arrangements, and expenses.
- Prepare presentations, reports, correspondence, and meeting materials.
- Track action items and support executive priorities.
- Handle confidential information with discretion.
Office Administration
- Oversee daily office operations and serve as the primary point of contact for office-related needs.
- Coordinate office supplies, facilities, vendors, and maintenance activities.
- Support employee onboarding, visitor management, and workspace logistics.
- Ensure a professional, well-organized, and efficient office environment.
Meeting & Event Coordination
- Coordinate leadership meetings, team events, and office activities.
- Manage logistics including room bookings, catering, technology setup, and vendor coordination.
- Provide on-site support for events, which may occasionally require extended work hours.
Stakeholder Coordination
- Act as a liaison between executives, employees, vendors, and external partners.
- Facilitate effective communication and follow-up across teams.
- Build strong working relationships across all levels of the organization.
Key Qualifications
- Bachelor's degree preferred or equivalent experience.
- 5 years of experience in executive assistance, office management, or administrative support roles.
- Experience supporting senior executives in a corporate environment.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Excellent communication, organizational, and multitasking skills.
- Strong attention to detail and problem-solving abilities.
- Professional, dependable, and capable of handling confidential information.
- Willingness to work from the Princeton office five days per week and provide flexibility around office events and leadership schedules.
