What are the responsibilities and job description for the Service Writer, Aviation Maintenance position at Code 1 Aviation?
Service Writer, Aviation Maintenance
Code 1 Aviation, LLC (C1A) · Rockford, IL · Full-time
We're looking for a Service Writer to join our maintenance team here in Rockford. This person is the glue that holds a work order together. You'll be talking to customers, coordinating with mechanics, and keeping management in the loop, all while making sure nothing falls through the cracks from the day an aircraft comes into the day it flies out.
It's a busy, hands-on role. You'll wear a few hats: part communicator, part organizer, part problem-solver.
What you'll be doing• Open work orders for incoming aircraft and get the customer's discrepancies and requests down accurately
• Be the person customers hear from while their aircraft is in the shop: status updates, findings, changes to the estimate
• Work with mechanics and the Director/Assistant Director of Maintenance to scope out anything extra that turns up during inspection
• Get customer sign-off on additional work and log it properly in the work order system
• Keep an eye on progress and speak up early if something's going to delay delivery, whether it's parts, findings, or anything else
• Keep estimates accurate as the work and the parts actually used come together
• Stay on top of parts orders and delivery timing with our vendors
• Keep the paperwork clean: discrepancies, labor, parts, sign-offs, all audit-ready
• Handle the final walk-through and squawk closeout when an aircraft is ready to go home
• Help coordinate the shop schedule with maintenance leadership
What you'll need• Some background in aviation maintenance, service writing, or customer-facing shop work is preferred
• You're a strong communicator. You can explain what's going on with an aircraft to someone who isn't a mechanic
• You're organized enough to keep several work orders moving at once without losing track
• You know your way around aircraft maintenance terms and workflow, or you pick things up fast
• Comfortable with maintenance tracking software and basic Excel/office work
• You stay level-headed when things get busy. Customers are often stressed about downtime, and they need someone calm on the other end
A few traits that'll help you succeed here• Patient and empathetic. You get why customers are anxious and you don't take it personally
• You speak up before problems become bigger problems
• Trustworthy with the details. Approvals, estimates, and paperwork all need to be right
• Good at delivering news customers don't love to hear, without burning the relationship
• You can manage your own workload without someone checking in constantly
• Genuinely curious about aviation and willing to keep learning
Good to know• This position is based at our Rockford location
• Standard shop hours, with some flexibility needed around aircraft deliveries
