Job Overview
The TA Business Specialist supports the Talent Acquisition team by reviewing pre-employment screening results including drug tests, background checks, and motor vehicle records, following established guidelines, coordinating with vendors, and escalating issues to the Sr Manager TA Operations for decision-making.
Duties & Responsibilities
Pre-Employment Screening Review and Processing:
- Reviews pre-employment screening results including drug tests, background checks, and MVR reports according to established guidelines
- Compares screening results against company standards; polices, matrixes and hiring criteria
- Documents review findings in ATS and pre-employment vendor tracking system
- Processes cleared candidates for next steps in onboarding
- Maintains accurate records of all screening activities
- Identifies screening results that fall outside established guidelines
- Gathers relevant information and documentation for escalated cases
- Presents cases to TA Leadership and Adjudication Committee with supporting details
- Implements decisions made by leadership on escalated cases
- Communicates outcomes to TA Business Partners and TA Specialists as directed
- Coordinates with pre-employment screening vendors on case status
- Follows up on delayed or incomplete screening results
- Assists in auditing TA Specialist team's screening processes
- Reports quality issues or process gaps to TA leadership
- Tracks screening completion times
- Maintains tracking systems for pre-employment screening activities
- Generates standard reports on screening volumes and turnaround times
- Provides administrative support to the corporate recruiting team in Charlotte, NC
- Responds to routine inquiries from candidates and hiring managers
- Files and maintains confidential screening documentation
- Basic understanding of pre-employment screening requirements including drug tests, background checks, and motor vehicle records (MVR)
- Ability to follow established procedures and guidelines for screening review
- Strong attention to detail and accuracy in processing screening results
- Experience with applicant tracking systems and HRIS systems
- Basic knowledge of employment compliance regulations (EEOC, FCRA)
- Ability to identify when issues require escalation to leadership
- Proficiency with MS Office including Word, Excel, and Outlook
- Strong organizational skills and ability to manage multiple tasks
- Effective communication skills for coordinating with vendors and internal teams
- Ability to maintain confidentiality with sensitive information
- High school diploma or GED
- Knowledge acquired through 1 to up to 3 years of relevant work experience
- Bachelor's Degree in Business, Human Resources, or related field
